THE ROLE


We are looking for an Office and Administrative Assistant who enjoys working in a fast-paced setting to join our team! As the ideal candidate, you possess exceptional communication and time management skills, the ability to determine work priorities and experience in ensuring confidentiality in all your work.


Reporting to the Community Development Manager, the Office and Administrative Assistant is responsible for providing administrative and office support activities for the Fort McKay First Nation Sustainability Department. Administrative support may also be required from time-to-time at the Park Ranger Program Centre. This is a permanent full-time position and is based on seventy-five (75) hours bi-weekly, additional hours, such as evenings and weekends, may be required for special events.


Key Responsibilities


Primary responsibilities include, but are not limited to:


  • Reply to general information requests with accurate information.
  • Develop or maintain a records management system.
  • Work with capital projects and submit work orders when required.
  • Forward incoming general e-mails and calls to the appropriate staff member.
  • Draft correspondence and reports.
  • Answer and direct general phone inquiries in a professional and courteous manner.
  • Prepare meeting agendas, attend meetings, and record and transcribe minutes.
  • Provide administrative support to Management and other staff.
  • Perform other related duties as required.
  • Sort incoming mail, faxes, and deliveries for distribution.
  • Perform clerical duties, such as word processing, spreadsheet, database or presentation software to prepare reports, memos, letters and other documents.
  • Greet visitors to the organization in a professional and friendly manner.
  • Operate and maintain personal office space, staff room, office equipment such as fax machines, photocopiers, voice mail messaging systems and computer scanning equipment.
  • Prepare and send outgoing faxes, mail and packages.
  • Provide support for community cultural and special events initiatives.
  • Data entry and upkeep of the organization’s databases, ensuring a high level of accuracy.
  • Make travel arrangements, prepare expense reports, order and maintain office supplies.


Key Requirements


  • One to three years of clerical or administrative support experience is an asset
  • High school diploma or equivalent is required
  • Demonstrated proficiency in Microsoft Office. (Outlook, Word, Excel, etc)
  • Clean Criminal Record Check
  • Experience working in an Indigenous community including knowledge of First Nations culture, traditions and values is considered an asset
