What your work day will look like:
• Calendar management – monitor and/or manage the Outlook calendar for the founder and co- founder . This includes responsibility for: arranging internal and external meetings, responding to changing priorities; the coordination of meeting logistics and the preparation of supporting material.
• E-mail – This includes reviewing emails for meeting invitations and taking action on specific requests.
• Meeting and event planning assistance - Reserve conference rooms and arrange for catering, printing of required documents, set up conference calls and video conference arrangements. Coordinate and plan logistics of offsite activities and meetings as required (booking venues, guest speaker, etc.). Provide restaurant reservations, cancellations, recommendations. Prepare materials for internal/external meetings on behalf of the
President.
• Travel and expenses - Assist with travel arrangements—make booking in advance,
prepare itinerary, coordinate last minute changes (flights, cars, hotels, team communications). Assist with passport and visa issues, maintain travel profiles. Assist with directions and local points of interest. Submission of expenses promptly for processing. Proactively assist with Amex expense reconciliation.
• Miscellaneous – Assist with other general administrative duties as required, such as processing invoices, providing and coordinating support for company technology and assisting the President with personal matters, such as coordinating errands or other.
• Running errands, such as groceries, household supplies, pharmacy, dry cleaning, etc.
• Research for activities for children & handle payments for activities
• Any personal shopping required for birthdays or special events
• Following up with orders from vendors
About you:
• Experience in a similar role
• Can be flexible with work hours if needed and open to a hybrid model
• Excellent time management skills
• Strong communication skills
• Must be able to maintain privacy and confidentiality, exercise diplomacy and discretion
• Ability to work independently and as part of a team
• Flexibility to handle last-minute changes
• Must have a valid driver’s license and vehicle
