The Role
The Experience & Culture Coordinator is responsible for programming, planning, and executing unique and memorable member events that take place monthly, all to the highest creative standards. Inspired by the KWENCH pillars and mission, programming should add value to our members, the greater community, making KWENCH the place to be! Events include music performances, dinners, drag, learning opportunities, panel conversations and…..you tell us? Schedule must be flexible to accommodate programming, including evenings and weekends.
Salary Range 45-50k
Main Duties
● Build and create a robust database of brands, talent, and instigators so that the KWENCH calendar is capturing/leading the current cultural trends
● Ideate, curate and produce 12 unique and memorable member events each month
● Ensure innovative events & programming are united around our global monthly themes
● Lead the event programming and vibe of the club
● Think big and be ambitious when conceptualizing member events (eg. booking talent, artist residency or installations)
● Propose trends, technology and leading innovations for new event formats (including digital) and collaborate with the team on themes and installations for big events, like KWENCH FEST, and seasonally themed initiatives
● Facilitate events by connecting members to other members and allow opportunities for events to be hosted by members
● Share contacts and ideas, and problem solve with the Member Service Team & Event team
● Plan events so that deadlines and budgets are always met and work closely with the Managers to ensure events deliver on business goals
● Communicate copy for everything you curate and tell the event’s story in a compelling way
● Responsible for uploading all member events to digital platforms for exposure and managing any incoming inquiries and attendee confirmation
● Coordinate scheduling of all staff supporting events, and liaise with other managers for scheduling needs for staffingAttend and oversee the execution of events and providing a point of contact for vendors and partners
● Setup and teardown of all events, including decorations and coordinate staff for resetting the spaces
● Obtain member and manager feedback from eventsProvide a run of show and wrap sheets for all events
● Requires full-time, flexible availability, working nights and weekends as necessary for business and events
● Oversees Club Bar Operations
● Operating and serving alcohol from our KWENCH bar
● Supervises bar team
● Ordering & Inventory Management
Membership Services Secondary Responsibilities
● Act as a first point of contact at the club by greeting and assisting all members and guests in a manner that is inclusive, welcoming and authentic
● Administer concierge duties and respond to member inquiries to ensure an excellent member experience
● Support business development and member sales, carry out site visits with prospective clients and assist with member onboarding and offboarding
● Responsible for opening and/or closing duties of the club
● Answering any inquiries and requests via phone, email or in person
● Responsible for tracking and ordering office, kitchen, cleaning, and coffee supplies
● Preparing and serving coffee and tea service to members throughout the day
● Ensuring the club is clean and presentable at all times
What We Look For
● 1+ years of event programming and customer service experience in a fast-paced environment
● 1+ years of experience in a restaurant or bar environment
● Serving It Right Certification is an asset (or willing to get the certification)
● Personable and a genuine people person
● Self-starter, able to take initiative and work independently
● Ability to adapt to a fast-moving environment where responsibility and deliverables may change
● Excellent organizational skills, someone who is reliable and accountable
● Requires a full-time schedule, with flexible availability, working nights and weekends as necessary for business and events.
