Job Description
Two Support Staff Full-time New Positions
(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)?
The International Admissions Assistant is responsible for the application process for international students wishing to enter post-secondary programs including English for Academic Studies. The incumbent ensures applicants are able to successfully complete the application using the International admissions portal, by responding to questions, troubleshooting issues the applicant experiences, informing applicants of missing information, advising on appropriate action, and ensuring the applicant file is complete including proof of English proficiency as required, prior to changing the status of the application for credential assessment. The incumbent is responsible for advising and assisting applicants with regard to the admissions process.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a fully remote work arrangement five days a week.
Responsibilities
  • Monitor time limitations for the receipt of information (e.g. transcripts), contact applicants who have not met deadlines and are in jeopardy of having their application closed
  • Screen application information received from the International Application Service (IAS)
  • Request signed authorization for student-initiated agent change requests and update SIS accordingly
  • Receive and respond to telephone, written, in-person and electronic inquiries on application processes, application status, available programs, admission requirements, navigating the International Application Service portal and college information
  • Coordinate communication with applicants and agents which includes sending notifications of closed programs, requesting additional transcript requirements, and advising on the status of an application
  • Ensure applicants can successfully complete the application using the International Application Service portal
  • Advise applicants and prospective applicants on suitable program choices and alternatives
  • Update the Student Information System (SIS) status of the applicant and record status changes as required
  • Assist agents and students who are experiencing problems accessing the International Application Service portal
  • Act as the key contact for international recruitment staff regarding the status of market-specific applications
  • In conjunction with the Conestoga Language Institute, coordinate the processing of IELAS applications, and payments, ensuring all documents are received and acceptances are issued
  • Run reports from SIS as requested by Manager or Vice President, International Education
  • Organize and prepare document completion for credential assessment and admission decision
  • Develop and produce tailored email correspondence to applicants and agents
  • Assist with user testing activities, including hands-on testing of functionality supporting various application processes and/or new initiatives and procedures
  • Ensure transcripts have been submitted by the applicant or agent for assessment
  • Use judgment to determine if the applicant has enough time to obtain their visa based on the program and selected program start date taking into consideration the posted visa turnaround times on the Citizenship and Immigration website
  • Liaise with International Admissions Officers on applicant and program statuses
  • Liaises with International Services to ensure existing student applicants applying for future programs are provided with the highest level of customer service
  • Develop, maintain, and review procedures related to the application process and International Applicant Portal
Qualifications
  • Two years of experience preferably in a college environment with practical experience in student/client services required
  • Demonstrate patience and appreciation for cultural differences
  • Related practical experience working with newcomers to Canada and new Canadians
  • Highly developed client service skills and ability to respond and problem-solve with tact, diplomacy, discretion, and professionalism
  • Ability to work both independently and in a team environment
  • Compassion and ability to determine when flexibility can and should be exercised
  • Minimum One-Year Certificate in Office Administration or another Business, Education or Science-related field
  • Superior oral and written communication and listening skills
  • Effective time management skills and demonstrated ability to work under pressure and in demanding situations
  • Experience working with a large database system is preferred
  • Excellent interpersonal and public relations skills
