Responsibilities:
- Greet and assist visitors, clients, and employees in a friendly and professional manner
- Collaborate with other administrative staff to ensure seamless office operations
- Answer phone calls, take messages, and route calls to the appropriate staff members
- Manage and maintain office supplies, inventory, and equipment
- Support the coordination of office events, including meetings, conferences, and team-building activities
- Schedule and coordinate meetings, appointments, and travel arrangements
- Organize and maintain physical and electronic files and documents
- Assist with the preparation and formatting of documents, reports, and presentations
- Perform data entry and maintain accurate records and databases
- Handle incoming and outgoing mail and packages, including distribution and tracking
Qualifications:
- Excellent verbal and written communication skills
- Proven experience as an office assistant, administrative assistant, or similar role
- High school diploma or equivalent (additional administrative certifications are a plus)
- Positive attitude, proactive approach, and a willingness to learn and adapt
- Ability to maintain confidentiality and handle sensitive information with professionalism
- Strong problem-solving skills and the ability to work well under pressure
- Proficiency in using office software and equipment (e.g., MS Office, copiers, printers)
- Attention to detail and a high level of accuracy in performing administrative tasks
- Strong organizational and time management skills with the ability to multitask effectively
