Job Description

Kelly Services is currently recruiting for a client in Kanata, Ontario for the role of Receptionist/ Administrative Assistant for a vacation coverage contract for ONE month August until September 2023

Job description


  • Office Inventory management
  • Clean and tidy common office spaces: conference rooms, collaboration areas, etc.
  • Welcome clients, visitors to the office and ensure all protocols (Covid19, EHS & Security) are followed and met
  • Answer phones, route call, take and deliver messages
  • Occasional lifting
  • Frequently check/order office stock, order supplies according to schedule
  • Make arrangements for refreshments for daily offerings and special refreshment offerings
  • Maintain an organized and clean workspace (personal & shared areas)
  • Mail & Couriers : manage, sort, dispense incoming and process outgoing
  • Contact for employee facility requests, handles tasks that fit role & responsibilities proactively
  • FEDEX online shipping tool
  • New hire communication & welcome package distribution
  • Technical proficiency in Microsoft Suite: Outlook, Excel, PowerPoint, Word
  • Uphold and carry out company office policies and procedures
  • Good retention and follow up skill, able to follow and maintain compliance
  • Support with facilities vendors/contractors and related site projects
  • Able to maintain exceptional level of customer service
  • EHS and Security policies, Monitor CCTV cameras (at reception desk)
  • Maintain internal and external ticket system
  • Online Ordering Systems (Instacart, Costco, Grocery Gateway, Amazon, Staples, etc)
  • Support with the booking of conference rooms & catering


To be successful in this role:

  • Ability to establish cross- functional, collaborative relationships
  • Advanced skills in Excel
  • Academic background (College/ University)
  • Experience in a similar role, preferably within FRONT DESK, ADMINISTRATION
  • Excellent communication skills. Must be motivated, meet deadlines and work well under pressure
