Position Details:
- Client site based
- Outage start date September 18, 2023 with a approx 5 week duration
- 6 days on/1 day off - 10 hrs per day (ST time)
- Start date August 21, 2023 (Training period)
- Temporary position
Responsibilities
- Handle travel arrangements, including booking flights, accommodations, and transportation for staff members or executives.
- Collaborate with other administrative staff to support team goals and initiatives.
- Manage office supplies, inventory, and equipment, ensuring availability and coordinating maintenance or repairs.
- Utilize data entry skills to accurately input and update information in databases, spreadsheets, and other systems.
- Organize and maintain physical and electronic files, documents, and records, ensuring confidentiality and accuracy.
- Perform data analysis and generate reports using Excel, including organizing and formatting data, creating charts and graphs, and identifying trends or patterns.
- Assist in preparing reports, presentations, and other documents by gathering and analyzing information, conducting research, and utilizing Excel functions for data manipulation and analysis.
- Serve as a point of contact for internal and external stakeholders, providing information, resolving inquiries, and redirecting requests as appropriate.
- Contribute to the development and implementation of administrative policies, procedures, and best practices.
- Coordinate meetings, conferences, and events, including arranging venues, sending invitations, preparing materials, and managing logistics.
- Perform general administrative duties such as answering phone calls, responding to emails, maintaining calendars, scheduling appointments, and managing correspondence.
- Apply basic accounting knowledge to assist in financial tasks such as budget tracking, expense management, processing invoices, and maintaining financial records.
- Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience in an administrative role, preferably in a similar industry or organization.
- Attention to detail and accuracy in data entry, record-keeping, and document preparation.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficient in using office productivity software (e.g., Microsoft Office Suite), including advanced skills in Excel for data entry, manipulation, analysis, and reporting.
- Flexibility to adapt to changing priorities and work independently or as part of a team.
- Strong problem-solving and decision-making abilities, with a proactive and resourceful approach.
- Basic accounting knowledge, including familiarity with financial tasks such as budget tracking, expense management, and invoicing.
- Ability to maintain confidentiality and handle sensitive information with discretion.
