Job Title:Events Coordinator
Job Type:Permanent, Full-Time, Monday to Friday, 37.5 hours per week
Location:15 Maple Ave Unit #103 Barrie, Ontario
Job Status:Hybrid – ability to work remote as well as at the office and travel to various events

Reports to:Public Engagement and Operations Manager
Compensation: Salary plus vacation, sick and personal days, health and dental benefits, and options for RRSP contributions
Position SummaryThe Events Coordinator will be responsible for supporting the planning, coordination, delivery, and reporting for the majority of Forests Ontario’s events. These events may include, but are not limited to; community tree plantings, community engagement events, the annual conference, holiday markets, education-based events, staff meetings and outings, and outreach events. This position will work alongside all departments within Forests Ontario. You will ensure that events are delivered in a professional and efficient manner, including fulfilling all contractual obligations between Forests Ontario and our partners. While this position can work from home, there will be the need and expectation to go to events/site visits, storage facilities, and the Barrie office, as well as to support programs/events across the province/country as required.

Responsibilities- Assist with tracking deliverables and timelines, paying attention to detail, to ensure projects are on schedule and all priorities are met
- Ability and flexibility to travel at various times throughout the year, as required
- Liaise with event attendees, sponsors, venues, suppliers, vendors, partners, volunteers, and co-workers to ensure clear and consistent communication, and requirements are addressed and met in a timely manner
- Schedule and coordinate events with team members
- Provide ‘onsite’ (in-person and virtual) event coordination and supervision including set up, onsite execution, and tear down
- Flexibility with respect to working hours; able to sometimes work additional/varied hours / weekends, as required
- Implement and coordinate a variety of project-related tasks that pertain to the planning, executing, and reporting for virtual and in-person events, maintaining a high level of organization and efficiency
- Proficient in Microsoft Office; familiar with online meeting and event applications
- 2-3 years of event coordination experience for an array of events (i.e., conferences, community engagement events, awareness promotions, workshops, meetings, etc.)
- Experience liaising with project stakeholders (partners, suppliers, venues, sponsors, etc.), ensuring a positive working relationship and outcomes
- Experience implementing and planning in-person and virtual events with more than 50 people in a professional manner
- University Degree or College Diploma in Biology, Event Management, Marketing, Education, or combination of relevant work experience
- Experience with minute-taking
- Smart Serve Certification
- Proficiency in French
- Experience safely operating a large vehicle/10-15’ truck
- Demonstrated interest in the environment and forestry
- Inclined to take ownership of a project from start to finish
- Responds well under pressure and is flexible
- Comfortable working within a team, and independently; Autonomy and accountability are key to this role
- Pays attention to detail and tracks commitments/assigned tasks including follow-through
- Enjoys the outdoors and maintains a positive attitude
- Extremely organized, with effective time-management and multitasking skills
- Outstanding communication skills, both written and verbal
- Able to meet deadlines effectively
- Must be able to effectively communicate relevant project information to peers and vendors with a high level of accuracy
- Able and willing to do hands-on work, as required
- Excellent customer service skills and problem-solving ability
