Job Description
Event Coordinator

Department:Fundraising

Reports to:Director of Development

Timeline:4 days per week

As part of a fundraising team reporting to the Director of Development, the WICWC Events Coordinator oversees and is responsible for1) Coordinating, planning, and executing existing 2-3 major fundraising events; 2) Creating new internal fundraising events and activities; 3) Coordinating all details required for 3rd party events (DIY).

Experience

The position includes but is not limited to:

  1. Coordination and management of the WICWC events and of DIY events to ensure that they are successful and profitable:
  • Create & execute communications to event participants, sponsors, donors, committee members, volunteers, and service partners throughout the events.
  • Close out all Centre events as required. i.e.: payments up to date, thank you letters, etc.
  • Be present at all events for proper execution.
  • Create & execute critical paths & production schedules for events when needed.
  • Ensure the needs of the person(s) running the event are met.
  • Work with Volunteer Coordinator & Marketing & Communications Coordinator (i.e., email blasts, social media, press releases, posters, graphics, etc.).
  1. Strategic planning and budgeting of events to ensure budgetary guidelines are adhered to.
  2. Build and lead committee meetings to assist in positive event production.
  3. Build and maintain strong relationships with the community, with the goal of increasing fundraising activities.
  4. Provide regular progress reports to the Director of Development.

Other requirements:

  1. Attend staff meetings, and provide support in other departments.
  2. Assist in other WICWC activities as needed.
Required Skill
  1. Minimum of 3 years experience in planning and executing major events
  2. Ability to bring forth new donors related to events
  3. Bilingual (written and spoken)
  4. Team player / Professionalism
  5. Detail-oriented and very organized
  6. Self-motivated, creative, innovative
  7. Ability to accomplish projects with little supervision
  8. Ability to manage multiple projects and work assignments from a variety of staff and volunteers
  9. Excellent time management skill, including the ability to establish and maintain multicomponent timelines and coordinate work successfully towards deadlines; excels in a fast pace, changing context
  10. Excellent problem-solving & interpersonal skills both in person and by phone
  11. Ability to work under pressure and willing to work with tight deadlines & budgets
  12. Ability to work flexible hours
  13. High expectations for quality
  14. Proficiency in the use of the latest versions of Microsoft Office, WordPress, Constant Contact, social media, email, and graphic design tools such as Publisher and/or Canva.
