PathWell is looking for a part-time Clinic and Client Coordinator to join our rapidly expanding team. We are a multi-disciplinary mental wellness health clinic in Downtown Toronto, in the core of the financial district. Our team is deeply passionate and driven to help improve the lives of others and equally contribute to fostering a culture of support, growth and enjoyment.
We are looking for a motivated, energetic, and self-directed individual who is caring and passionate about mental wellness. This individual must be committed to providing an exceptional customer service experience for clients.
It is our hope that this person will want to grow into a full-time position, as we continue to expand our team and range of services offered.
RESPONSIBILITIES
- Daily communication with lead clinic and client coordinator
- Maintaining a clean and tidy office environment
- Processing, tracking and managing all incoming referrals on a daily basis
- Other tasks that may arise, as needed
- Providing administrative assistant support to clinic’s founder
- Managing incoming phone calls, emails and booking requests from clients in a timely fashion
- Have an excellent understanding of clinic’s inclusion/exclusion criteria and clinicians’ areas of expertise to ensure appropriate clinician-client matching
- Providing high-level of support to clinicians to aid with clinical service delivery
- Sending intake and consent forms, forms to referring physicians and insurance companies
- Organizing and maintaining clinic operations and procedures
- Managing clinicians’ schedules using our booking platform
- Responding to client requests quickly and efficiently
- Managing office supplies inventory to ensure efficient clinic operations
- Providing support and leadership within our busy clinic
- Updating and maintaining our CRM
QUALIFICATIONS
- Self-starter, motivated and able to learn quickly
- Demonstrates proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams), Zoom Meetings, Dropbox, and Adobe Acrobat Pro.
- Ability to work in a fast-paced environment, have exceptional time management skills and to perform well under pressure
- Solution-focused individual with ability to foresee potential issues and quickly resolve them
- Able to balance empathy and assertiveness in professional settings
- Experience working in a healthcare clinic setting is preferred
- Post-secondary diploma/certificate
- Excellent command of written English grammar and spelling
- Demonstrates strong communication and interpersonal skills with clients
- High attention to detail, conscientious, critical thinker
Work Hours:8:30 a.m. – 5:00 p.m., 2 days per week
Work Location:Hybrid to start, in-person before year’s end as we expand to our new clinic location
