Job Description
The Strata Council for one of the buildings managed by Associa has an opening for a full-time live-in/live out Building Operations Manager for a large multi-unit residential property located in downtown Vancouver. The Building Operations Manager is responsible for the day-to-day operations of the property to ensure an excellent living experience for its residents.
The ideal candidate will be computer savvy, possess the ability to think quickly on their feet to problem solve, have excellent task and time management skills, exhibit attention to detail, and enjoy creating great relationships and a sense of community within the complex. You will be supported by a team of concierge staff who are onsite 24/7 and full time cleaners.
  • A background check is mandatory.
  • Hours of work: 8:30 a.m. to 5:00 p.m. Monday to Friday + availability for emergency call out for fire/flood and other time sensitive issues.
  • A vehicle is sometimes required to pick up supplies; you could use a shared car service if you don’t have your own vehicle.
General Overview of Duties [more details will be supplied during an interview]
  • Respond and prepare for emergencies
  • Monitor contractor’s performance
  • Oversee and direct janitorial staff and concierge staff.
  • Update website with timely information
  • Maintain maintenance manuals: vault cleaning, sump pumps, annual fire inspection, dryer vent cleaning, window cleaning, etc.
  • Test pool/hot tub daily to maintain proper chemical balance [Monday to Friday]. If you don’t have this accreditation, the strata will arrange for the course.
  • Quickly address significant issues from Residents [Owners/tenants], Commercial Tenants and VIFF.
  • Obtain at least two competitive quotes for all major work required, evaluate quote and make recommendations to council
  • Read and respond to correspondence from others [Residents, Strata Manager and Council]. Take action as needed.
  • Ensure scheduling and access for contractors/trades
  • Perform maintenance duties as needed. [i.e., change burnt out lights, pressure wash exterior common areas, snow removal, etc.]
  • Track work performed daily and prepare a weekly overview
  • Write clear notices for residents
  • Work on projects/directives as assigned by Strata Manager, Council members or on your own initiative [i.e., develop scope of work for quotations, schedule contractors, etc.]
  • Tour property regularly– checking for deficiencies, safety issues and curb appeal
  • Read and respond to overnight, weekend and daily reports from Concierge Staff and carry out actions as needed.
Requirements
  • Great communication skills - Ensures regular communication and reporting, liaising with very involved strata council
  • While infrequent, the Operations Manager will occasionally be required to work outside normal office hours, including evenings, holidays, and weekends should an emergency situation arise.
  • Team player comfortable working with the concierge and cleaning staff, property manager and trades
  • Excellent customer service and a professional, polished demeanor

  • Constant walking and monitoring of building equipment and physical structure
  • Lifting, pulling and managing equipment and tools
General Skills And Attributes
  • Comfortable with Microsoft Office Word, Excel and Google Suite
  • Ability to think a project through to the end, to foresee potential pitfalls, resident concerns and to address them in advance when possible
  • Ability to handle multiple demands, competing priorities and adapt to new ideas and constant changes;
  • Ability to allocate time effectively, work under pressure and manage tight deadlines
  • Excellent oral and written communications
  • Ensure that all activities are completed safely and efficiently
  • Must possess and maintain a valid driver’s license and have access to a vehicle.
  • Excellent planning, prioritizing and project management skills, proven leadership, and mentoring abilities
  • Exceptional interpersonal and customer service skills with proven abilities to resolve conflict on various levels
  • Demonstrated and verified strong ethical practices
  • Analytical and detail oriented. Keen focus on producing accurate and high caliber work.
  • Aptitude for using other software for time tracking, project management and website updates
  • Able to write detailed and coherent reports and notices
Mechanical Skills
  • Basic knowledge of boiler systems is an asset
  • Basic knowledge of mechanical and electrical equipment
  • Basic to intermediate knowledge of plumbing systems - both supply and sanitary.
Experience & Education
  • A minimum of 3 years’ experience in building operations and management.
  • High school graduate; post-secondary education is an asset
