Job Description

Position’s Primary Objectives:


Participates as a key member of the Property Services team responsible for oversight of for day to day preventative and reactive maintenance related matters for Pacifica properties throughout Greater Victoria including:


  • Fostering a positive, active and collaborative relationship with all Pacifica teams, residents, communities and associated agencies;
  • Collaborate with other departments to ensure a high level of customer service is delivered to clients, residents and internal departments;
  • Provide leadership and technical direction to the maintenance team;
  • Support the Director, Building Maintenance and Operations by ensuring day-to-day maintenance activities take place and support the delivery of services to meet the organization’s quality and efficiency standards;
  • Perform a variety of maintenance and property management related functions.


Key Responsibilities:


  • Team Management


Provide day-to-day supervision of the maintenance team including:


  • Ensures safety standards and operational policies and procedures are adhered to by the team during daily maintenance activities;
  • Coordinates unit inspections once per year and ensures corrective maintenance action is scheduled as required, and tenancy issues observed are reported to resident services;
  • Manages contracts and quality control of service delivery;
  • Monitors and identifies day-to-day issues that impact the delivery of maintenance services and resolving or recommending solutions to identified issues;
  • Performs other related duties as required.
  • Assists with move-ins/move-outs, unit showings, contractor access, and suite-turn quality control as required;
  • Oversees suite turnovers and ensures that they are completed in a timely manner at an acceptable standard.
  • Reports issues resolved, those needing attention, and those currently in progress to the Director, Building Maintenance and Operations ;
  • Undertakes regular check-ins, team meetings and performance management as needed;
  • Empowers the team to respond and address issues as they arise;
  • Planned Maintenance
  • Provides leadership and supervision to staff in a manner that motivates, guides, and directs them to be responsible and accountable;
  • Ensures timely engagement and implementation of maintenance schedule activities;
  • Reviews and approves invoices;
  • Ensures completion of maintenance work orders, mileage reports, and other paperwork in a timely manner;
  • Facilitates annual insurance renewals and oversees insurance claims;
  • Participates in recruitment, retention, and oversees team performance management;
  • Supports direct reports through coaching ,mentoring, guiding problem solving and professional development;
  • Attends meetings as requested;
  • Works independently to meet deadlines and complete assignments as arranged;
  • Responds to emergency maintenance requests as required;
  • Reactive Maintenance
  • Maintains adequate maintenance supply inventory and material ordering;
  • Manages the approved vendor list and obtains quotes as required in accordance with procurement policy and processes;
  • Conducts building property inspections every 6 months and ensures corrective maintenance action is scheduled as required, and tenancy issues observed are reported to resident services;
  • Acts as a technical and training resource to the maintenance team;
  • Troubleshoots building system issues;
  • Identifies areas to improve efficiencies and quality of work;
  • Participates in the on-call rotation and serves as back-up for emergency on-call shifts and after-hours maintenance assignments;
  • Administration
  • Prioritizes and assigns work activities;
  • Coordinates and monitors the preventive maintenance schedule;
  • Coordinates and provides oversight of outside contractor' work;


Requirements


Education:


  • Post-secondary vocational training, trade ticket, and/or completion of courses in one or more of the trades is desirable
  • High school diploma or equivalent (required)


Experience:


  • A minimum of 5 years recent experience in progressive maintenance roles is preferred
  • Supervision of a service industry workforce
  • Demonstrated experience in carpentry, plumbing, electrical and painting


Note: An equivalent combination of education and experience may be considered


Knowledge, Skills and Abilities:


  • Knowledge of Yardi Property Management software is an asset.
  • Demonstrated aptitude in dealing with private and confidential information; uses diplomacy and tact in all interactions.
  • General proficiency using a Microsoft Office Suite, mobile phone to e-mail, text, call and manage calendar appointments.
  • Strong interpersonal communication skills
  • Proven ability to work independently.
  • Familiarity with the Residential Tenancy Act is an asset.


Additional Criteria for Role:


  • Completion of a Criminal Record Check with the Vulnerable Sector is required before employment commences.
  • Must be available to be on call in off hours for emergency call out.
  • Must have valid driver’s licence and access to a reliable vehicle with a minimum of $2 million liability ‘business class’ insurance.
