Role
The Administrative Coordinator works closely with all the other members of EHBA's board and instructors to offer support in logistics and organization. This member should have strong interpersonal and communicative skills to maintain professional and friendly relationships with students, instructors, board members, and the community. This position also requires managing confidential and efficient transactions related to payments and legal documentation. The person performing this role should be bilingual in Spanish/English.
Responsibilities
✓ Attend all board meetings and be present for classes and office hours (schedule is described under the "Commitment" section).
✓ Manage and respond to the website chat, corporative e-mail and phone with professionalism maintaining friendly relationship with contacts.
✓ Keep EHBA’s agenda and apply payments and renewals (including but not limited to Business License, insurance, rent)
✓ Communicate with vendors, Edmonton Public Schools, Government agencies and other entities.
✓ Coordinate with the Academic Coordinator the book orders and maintain the inventory.
✓ Keep all EHBA’s assets inventory.
✓ Organize and manage the registrations.
✓ Collaborate in open house events with the Communications and Social Events coordinators.
✓ Actively participate in events and provide logistic support.
✓ Maintain confidential information (about EHBA and its clients) in a safe manner.
✓ Be accountable for other tasks as per RACI matrix is updated.
Qualifications
✓ Education: Minimum High School. Clerical or Administrative Assistant certificates/education preferred.
✓ Experience: Minimum 2 years of experience in an Administrative Assistant/Secretary role preferably in the non-profit sector.
✓ Skills: Excellent verbal and written communication skills in both English and Spanish, Problem solving under time constraints, Independence and teamwork skills, Customer service, Cultural competence, Ability to learn new computer programs/tools and Proficiency navigating the Internet and Social media environments, Flexible, Microsoft and Google products
