THE ROLE
The Accounts Receivable - Cash Application Coordinator will be responsible for supporting the accurate and timely processing of tenant payments for commercial real estate properties. The primary focus of this role is to ensure that tenant payments are applied correctly and efficiently, and any discrepancies are identified and resolved in a timely manner. The ideal candidate has strong attention to detail, excellent organizational skills, and experience in cash application in a commercial real estate environment.
KEY RESPONSIBILITIES
- Prepare and distribute regular reports related to cash application, including tenant account balances, aging reports, and other financial reports as needed.
- Verify and reconcile tenant account balances and ensure that payments received are accurately reflected in the tenant's account.
- Reconcile and balance tenant accounts on a regular basis, ensuring that all transactions are properly recorded and accounted for.
- Contribute to process improvements and system enhancements related to cash application in the commercial real estate industry.
- Investigate and resolve discrepancies or issues related to tenant payments in a timely and professional manner.
- Accurately process and apply tenant payments in a timely manner for commercial real estate properties including commercial office, industrial, and retail spaces.
- Assist in the preparation of audit requests related to cash application and tenant receivables.
- Utilize accounting software (Yardi) and tools to ensure the correct allocation of funds received from tenants, including rent, common area maintenance (CAM), taxes, insurance, and other charges.
- Stay up-to-date with industry trends and best practices related to cash application and tenant receivables management.
- Work collaboratively with internal teams such as Property Management, Leasing, and Accounting to resolve payment discrepancies and improve the overall cash application process.
- Ensure compliance with company policies and procedures related to cash application, tenant receivables, and collections.
- Prepare and maintain accurate and up-to-date records of tenant payments, including check copies, electronic receipts, and other supporting documentation.
QUALIFICATIONS
- A willingness to admit mistakes and easily digest constructive feedback, using it as a learning opportunity.
- A team-oriented approach to meeting goals and objectives.
- Knowledge of generally accepted accounting principles (GAAP) and financial reporting requirements for commercial real estate.
- Intermediate to advanced skills in Microsoft Excel and other relevant software applications.
- One or more years of experience in cash application or related field, preferably in commercial real estate.
- Working knowledge of Yardi is an asset.
- Strong interpersonal skills with an outstanding level of integrity that will gain the trust and respect of staff and external stakeholders.
- Post-secondary degree in Accounting, Finance, or related field.

- Strong analytical skills and attention to detail.
- Strong problem-solving and critical thinking skills.
