Academic Liaison & Administrative Assistant

Position Summary


The ideal candidate profile for this position is someone who thrives in a dynamic, fast paced and changing environment; enjoys a challenge; possesses a strong customer service focus and a “can do” attitude; and, instinctively knows who his or her target audience is and how to effectively “speak” to that demographic.


Reporting to the Chief Academic Officer (CAO) and Campus Director, the incumbent is responsible for executing key leadership and operational functions in Academic and Student Services.


Key Job Responsibilities


  • Be the first contact point and act as the face of the Academics department for students, including service at the reception desk
  • Mediate potentially tense situations where language and cultural barriers may affect the reception desk
  • Work closely with Student Services when students have questions, concerns, or help booking an appointment with their Advisor
  • Communicates directly and on behalf of the CAO and Campus Director when directed, maintaining excellent client relations skills
  • Act as the designated communications liaison between the CAO/Campus Director and third parties
  • Be comfortable working in a busy environment and producing reports and statistical data
  • Works with Executives on administrative tasks (e.g., document and file management, scheduling, organization tasks, refining administrative processes, notetaking)
  • Computer and presentation assistance for board meetings, global exec meetings, and other events
  • Provide knowledge and expertise about programs, courses, and Student Services to students
  • Meet regularly with the CAO (Chief Academic Officer) and Campus Director, to provide day-to-day supports and updates to each party
  • Perform other related duties, as assigned

Knowledge


Job Requirements:


  • Previous experience in supporting senior executives would be an asset
  • Certificate, Diploma or Bachelor’s degree in Office Administration or Business, supplemented by relevant and meaningful work experience in a related field while meeting specific and measurable objectives that contributed to the overall success of an organization
  • Experience in Higher Education would be an asset

  • Excellent speaking, writing, editing, grammatical, organizational, and research skills.
  • Strong interpersonal skills with a range of populations
  • Effective team and partnering skills
  • Exceptional MS Office skills including Word, Excel, PowerPoint, Teams, and comfortable utilizing a variety of IT systems including, but not limited to, an intranet, databases, etc.
  • Superior organizational and problem-solving skills
