Job Description

The work:

We are ambitious and have a progressive agenda. You will support our cross-functional team of up to 5 individuals with everyday administrative tasks. By taking on some of their administrative and project management workloads, you will free up their time to concentrate on the projects vital to our success and that of our customers.

You will be mentored, coached, and empowered to learn by doing. You will have the autonomy needed to be successful and experience diversity in your role, from handling day-to-day administrative tasks to the creation and implementation of projects.


Facilitate the achievement of Team objectives

• You will put together itineraries and alert team members about impending deadlines.

• You will be responsible for scheduling relevant meetings, setting the agenda and preparing pre-read and post-meeting actions.

• You will be responsible for the general upkeep of the office facility, including coordinating guest visitors, ordering stationery and other supplies, and managing monthly expenses.

• You will organize events that could be internal social events or client entertainment.

• You will prepare some internal and external presentations and briefing reports.

• You will be asked to coordinate staff and guest business travel.

• You will be asked to maintain company documentation, including legal contracts.

• You will be responsible for coordinating IT workflows to set up new employees.

• You will be responsible for maintaining the inventory of IT assets of the company.

• You may be asked to oversee the company’s social media activity and feeds.

• You may be tasked with some basic data collection or research tasks from time to time.

• You may be involved in managing administrative aspects of some critical projects.


You are:

• Someone with a great attitude who is happy to get involved in different areas of the business.

• An intuitive individual who anticipates and acts, instead of awaiting directions to respond.

• Dynamic in how you plan work, delivering results with a high degree of attention to detail.

• A team-oriented individual, cultivating productive working relationships.

• Experienced in working with senior executives and external vendor partners.


You’ll need:

• Bachelor’s degree in Life sciences or Arts and Language

• 1- 2 years of relevant experience is expected but we also welcome less experienced learners.

• Excellent computer skills, including proficiency in the Microsoft Office suite of products

• Exceptional writing, editing, and proofreading skills.

• Common sense and strong communication and people skills

• To work autonomously, using your initiative but will take direction and learn from their director or manager and colleagues.

• Good phone/ email manners and impeccable presentation of yourself and the company.


Bonus points if:

• You’ve got great social media skills

• You are fluent in business French

• You are good at contract negotiations and extract value for the company.


In this role you will be assigned to a pharmaceutical company on a permanent basis, and not to Zenith PV directly.
