Job Summary


The Site Coordinator – Research Hub provides operational and administrative coordination for the CGSHE Community/ Clinical Research Hub (located at 647 E. Hastings), supporting Faculty, Project Coordinator(s) and frontline project staff. This position works collaboratively with the Project Coordinator(s) and onsite teams for all relevant projects including the provision of research administrative support, serving as the first point of contact for participants and members of the community attending the facility. The position is responsible for receiving and conveying facility and operational information related to all project(s) at 647 E. Hastings. The Site Coordinator supervises and provides day-to-day support to the Front Desk Assistant(s), coordinates bookings and schedules appointments for research projects operating at the CGSHE space: including AESHA (cohort & qualitative), SHAWNA cohort, IRIS Project, Trans Health Project, Trauma-Informed Support (TRIS) project and AMPLIFY.


Organizational Status


Located on unceded Coast Salish territories (Vancouver, BC), the Centre for Gender and Sexual Equity (CGSHE) is a UBC Faculty of Medicine research centre (www.cgshe.ca) and affiliated with SFU. The CGSHE has a strategic mandate of leadership in promoting gender equity and sexual health for all through research, policy and practice. The Centre includes over 40 faculty members (primarily across FoM, including School of Population and Public Health and Departments of Family Practice, Medicine, OBGYN, and Program of Midwifery), hosts an equity-oriented and interdisciplinary training program with a large cohort of affiliated undergraduate trainees, graduate students, and postdoctoral fellows, and supports and hosts a growing number of UBC/SFU community-engaged research teams working across BC, nationally and globally. CGSHE works in highly collaborative space and supports faculty members and their research teams and graduate students from diverse backgrounds and lived experiences.


The Site Coordinator reports to the Director of Operations or designate, working as part of the core operations team and also takes work direction from the PI designate of the 647 Management Committee.


Work Performed


  • Disseminates communications relevant to the PIs, Research Coordinators, and research participants.
  • Performs other duties as required.
  • Coordinates the operations of the facility including preparing interview/clinical rooms and reception/front desk areas for usage, directing onboarding and access to the space, supporting events occurring in the space, and liaising with VCH facilities management.
  • Updates and maintains multiple research databases including completion of research participant files, assigning research interview times, tracking space usage for research sessions, and coordination of research supplies and invoices.
  • Prepares written materials for the PIs and Research Coordinators about projects occurring within the facility when required.
  • Supports the Research Coordinators with petty cash and reconciliation for research projects as needed.
  • Uses relevant experience to effectively and appropriately communicate with the research population, ensuring that communications are respectful of culture and gender.
  • Maintains LOA 1 (or equivalent) first aid certification and participates in other safety trainings as required (Overdose Response, Crisis Response).
  • Greets research participants and administers intake forms to research participants across the projects occurring in the facility.
  • Participates in the Local Safety Committee meetings as the Worker Representative. Follows up on action items as required.
  • Tracks and maintains the CGSHE van usage for outreach initiatives across various research projects.
  • Assists the Research Coordinators in the development of knowledge translation materials and effective strategies for dissemination of project materials.
  • Contributes to positive working relationships with a diverse set of team members.


The position is full-time and the incumbent will work onsite at CGSHE’s Gender Research Hub in the Downtown Eastside as well as occasional time spent at CGSHE's Hornby St. office. Travel to meetings may be required from time to time.


Consequence of Error/Judgement


This position works with a high degree of independence and responsibility and exercises a considerable amount of judgement. Errors in judgment could result in serious financial or reputational consequences for the CGSHE/ UBC, undermining the Centre's ability to meet commitments and achieve its strategic objectives, including the inability to successfully meet granting agencies' deliverables. Inaccurate projections and forecasts could cause the Centre to make costly decisions regarding levels of investigator and staff resources and other support. Poor public/private sector relationships could result in a negative image of CGSHE / UBC and may impact levels of research funding made available through partnerships. Errors could result in significant concerns regarding the liability, credibility and integrity of the CGSHE and UBC.

Supervised by the Director of Operations or designate as assigned by the Executive Director.


Supervision Given


Provides day to day supervision to the Front Desk Assistant(s).


Minimum Qualifications


Completion of a relevant technical program or a university degree in a relevant discipline and a minimum three years of related experience or an equivalent combination of education and experience.

Preferred Qualifications


  • Demonstrated computer skills, including experience with Microsoft Office Suite (Word and Excel) and proficiency with data entry.
  • Research experience or training is an asset.
  • Experience and/ or training in conflict management is an asset.
  • Organized with meticulous attention to detail.
  • Flexibility in daytime and early evening hours to support outreach and recruitment to study populations.
  • Familiarity with Metro Vancouver and community services related to sexual health, HIV and sex work.
  • Excellent time management skills.
  • Exceptional communication skills, both oral and written.
  • Physical ability to perform the duties of the position.
  • Ability to travel between sites as needed.
  • Ability to use professional judgment when supporting participants and referring to appropriate services.
  • Current BC Driver’s License, CPR, sexual health, and naloxone administration training is an asset.
  • Excellent interpersonal skills, including conflict management and crisis resolution skills.
  • Ability to problem solve and be flexible.
  • Demonstrated knowledge and skills to work with diverse community collaborators, service providers, and other stakeholders.
  • Related experience in administrative coordination or an equivalent combination of education, training, and experience.
  • Experience in frontline/ community services, including experience with marginalized communities we serve.
  • Ability to handle multiple tasks at once, establish priorities and meet deadlines.
  • Ability to work independently following SOPs within a diverse team environment.
  • Experience with underserviced populations (e.g., homeless, sex workers, women living with HIV, women who use drugs, Indigenous women, new immigrant/ migrant communities and gender and sexual minority populations (LGBTQ2S+)), including knowledge of gender and social equity.
