This Position is a Sales Admin for the sales department and plus EA / Admin to CCO
Looking for someone strong with Excel , Power BI
Position function:
Reporting to the Chief Commercial Officer the individual will be responsible to support the CCO and assist in the coordination of the Sales process across North America.
Scope:
The Sales Coordinator is responsible for a wide variety of administrative duties in support of the CCO. Duties included but are not limited to management of the CCO’s calendar, making travel arrangements, and preparing presentations, gathering data through our CE and BI tools to support various meetings. This individual will also provide administrative support to the SLT when required. The Sales Coordinator is required to maintain confidentiality and professionally interact with employees, management and the public at all times.
Major tasks and duties:
Assume responsibility for reviewing and following up on sales reporting.
· Review sales data and analysis for follow up with CDM
· Review Pipeline and analysis for BTM/CDM
· Develop standardized sales dashboard reporting for key customers
· Ensure adequacy of sales related reporting tools including daily sales, pipeline, buying groups and account classifications.
· Follow up on delinquent totes as stated in tote report with customers
· Manage contract documentation and centralized filing
· Record and manage reporting for sales award metrics including call counts and sales numbers
· Review Floor Stocking Agreements and work with customers and issues after CCA involvement
Assume responsibility for the logistics of sales functions and events
· Organize customer sales events, trade shows, presentations and visits
· Assist in the development of presentation tools and data
· Organize sales meetings and conferences
Assist both Business Team Managers and Customer Development Managers with day-to-day functions.
· Complete expense reports for Business Team Directors
· Arrange travel and bookings for Business Team Directors
· Assist with new Customer entries
· Enter sample requests and price requests if Customer Development Manager is travelling or unable to do so
Assist in the operations of sales processes with other departments within the company
- Other duties as assigned
- Be the “Power User” for PowerBI and CE (CRM)
- Develop a consistent customer filing system and regularly update. Preform data clean up within the customer files
Scheduling & Communications duties:
- Communications
- Communicate with Executives on status of outstanding issues on a regular basis
- Review and handle all correspondence including drafting of e-mail responses
- Track, record and prioritize all items requiring action and ensure follow-up in a professional and
- Maintain confidentiality and use of discretion with all matters
- Manage and schedule Commercially Owned Meetings
- Schedule all meetings and maintain dynamic calendar of the CCO, including all meetings
- Anticipate any issues that arise from calendar management and initiate appropriate action and
- And travel arrangements
- Timely manner
- Liaison with Executive Assistant at BV
Administration duties:
- Other duties shall be assigned as required.
- Support sales teams and complete additional miscellaneous duties that relate to administrative support
- Ensure compliance with all health and safety regulations, GMP’s and HACCP requirements
- Prepare and coordinate material for key meetings, including creation and enhancement of presentation
- To other departments within the organization when required
- And support materials and ordering of any food.
- Present a positive and professional image of the executive office to all visitors, inquiries, and other
- Maintain Executive’s online and paper filing systems
- Prepare and review presentations
- Assist with vacation schedules for the team
- Prepare and reconcile expense reports, credit card statements and reimbursements
- Persons.
KNOWLEDGE/SKILLS AND EXPERIENCE:
- Strong knowledge of MS Office, including Excel, Access, and PowerPoint
- Effective time management skills.
- Strong attention to detail and highly organized.
- Prior experience in coordinating travel
- Superior multi-tasking and prioritizing capability.
- Advanced proficiency in MS Word, Excel, Power Point, Outlook and Internet
- Post Graduate degree in business admin or related field
- Minimum of five years previous experience in supporting executive team
- Excellent interpersonal, written and verbal communication skills.
- Proven success in a high volume work and shifting priority environment
- Ability to process high volumes of paperwork.
