Job Description

Altis is seeking a Proposal Coordinator to join it's growing internal Corporate Proposals team. This is an exciting opportunity that offers career progression within our proposals team!



This role will rely on your resourcefulness, your writing ability, your time management skills, and your attention to detail. Each proposal will be its own project, with due dates and a deadline for which you will be accountable. You will need to be able to organize your time efficiently, as you manage multiple amendments on various bids simultaneously, and communicate to your respective colleagues.



This position requires strong problem-solving abilities, as well as a commitment to Altis’ Standard of Excellence for proposals. It is important that as a member of our team you bring your “A-game” every day with a growth mindset, operating ethically and consultatively, while contributing to our company culture and to the community at large.



Roles and Responsibilities

  • Reviewing websites and exploring new opportunities to bid on in order to drive business
  • Gathering organizational documents for submission
  • Management and maintenance of the bid calendar
  • Preparing a template for the proposal
  • Submitting the proposal to ensure that all mandatory elements are sent to the client by the submission closing date
  • Developing a draft of the proposal for a quality review
  • Updating the proposal repository with pre-written answers to standard questions
  • Gaining an understanding of each opportunity by thoroughly reading the RFP and flagging any concerns with questions to the client for clarification
  • Completing all proposal forms for submission
  • Performing a thorough Quality Assurance (QA) process to ensure the final proposal submission is in line with our established style and level of quality
  • Maintaining reports on proposal outcomes and lessons learned
  • Support our writers in developing compelling questions that will be understood by our clients in order to obtain a positive response



Qualifications and Experience

Must have:

  • 1-2 years of professional office experience
  • Superb written and verbal communication skills
  • The ability to work well in a fast paced, deadline driven environment
  • Excellent attention to detail and proofreading abilities
  • Effective time management and exceptional organizational skills


Nice to have:

  • Previous experience working with proposals or within a related field considered a strong asset
  • Previous staffing/recruitment industry experience considered an asset


Education and Certifications

Minimum education required: Bachelor's Degree
