MGA is looking for a Proposal and Marketing Coordinator to join our team in Victoria and/or Vancouver.

The Role
As a Proposal and Marketing Coordinator, you will play a vital role in supporting our business development efforts and enhancing our marketing strategies as a member of a collaborative and passionate team working on projects and with clients around the world.
Your primary focus will be responsibility for project management and coordination of proposals (RFQs, RFPs, letters, etc.) characterized by strategic research, compelling writing, an eye for graphic design and layout, all driven by a business strategy developed in partnership with the Principals.
You will also have a business development orientation, with a passion for the architecture and design industry and interest in monitoring industry developments and identifying and generating potential leads.
You will also support Marketing & Communications initiatives and special projects in support of elevating our brand and profile to clients and external audiences.
Responsibilities
- Sourcing, creating, compiling, and editing proposal content – Convert and integrate technical content provided by various authors and subject matter experts into a cohesive, compelling and well-written narrative and proposal document that is aligned with win themes.
- Developing Marketing & Sales Material – Assist with developing presentations, collateral, graphics/visual aids, and packages for various BD pursuits and Marketing & Communications initiatives. Perform updates and edits to existing marketing collateral as needed.
- Track opportunities and leads – Identify potential projects through a variety of channels
- Support Marketing & Communications initiatives as needed – Support the Director of Communications + Marketing with specific initiatives and projects, including promotional activities, events, content development, awards submissions, and PR support.
- Document development and coordination – Ensure timely and high-quality submission of proposal responses and client presentations, including: reviewing and assessing proposal requests and bid documents; proactively identifying and flagging risks that should be considered as part of a Go-No Go decision; and create layouts and prepare and produce high-quality proposal documentation and client marketing material.
- Project management, development, and coordination of proposal submissions – Develop detailed work-back schedules and timelines based on submission deadline; proactively manage and coordinate all planning and review meetings / calls; capture and circulate review meeting outcomes and action items; and coordinate timely delivery of proposals.
- Being part of a team – Understand that a dynamic, energetic work environment sometimes means important tasks are assigned to whoever can help out in that moment. Assist (and/or lead) efforts on short notice that contribute to overall team success.
Core Competencies & Qualifications
- Exceptional organizational skills, with an ability to excel in a deadline-driven environment, and the ability to juggle competing and changing priorities.
- Demonstrated proficiency in Adobe InDesign and Microsoft Office (Word, Excel, PowerPoint).
- Excellent verbal and written communication skills, with an ability to grasp technical concepts and language and convert into compelling language; as well, an ability to compile disparate content elements from a distributed group of authors into a cohesive and compelling response.
- Experience in the architecture and design industries is preferred.
- Minimum of 2-3 years of experience in the professional services sector, spanning RFPs, RFQs, EOIs and client presentations.
- Bachelor’s degree in marketing, communications, business or equivalent experience in a related discipline.
