Responsibilities
  • Prepare and provide tenant histories, statements of account, and reports as required.
  • Investigate overdue balances, reporting to the manager.
  • Preparing collections and/or demand letters where necessary in compliance with lease terms and following up on further action as instructed by the Property Manager.
  • Maintain positive tenant relationships through professional and effective responsiveness and proactive consideration of tenant issues
  • Update and maintain Tenant Lease Information, prepare initial rental advice notices and cover letters to tenants.
  • Assist Property Manager with the annual budget process for buildings within the portfolio.
  • Support the Property Manager with ongoing initiatives.
  • Coordinate and distribute all relevant tenant communications; maintain filing for tenants and properties according to the standard record-keeping procedures on a daily basis.
  • Assist with resident events, promotion activities, and production of resident newsletters and welcome kits, as required.
  • Manage and oversee the administration functions in Spectra for the residential portfolio.
  • Assist with resident inquiries, read and understand leases to ensure accurate information is received and maintained, as required.
Qualifications
  • Excellent communication (written and verbal), computer and interpersonal skills.
  • Knowledge of property management law and resident relations would be an asset.
  • Strong planning, organization, and follow-up skills.
  • Must be a motivated self-starter with the ability to work well in a team setting.
  • Must have a vehicle and a valid driver’s license
  • Advanced Computer skills in Microsoft Office; particularly Word and Excel.
  • A strong customer service background and ability to develop rapport with residents and staff would be an asset.
