Job Description

Project Coordinator


Description


The Project Coordinator will report to the Project Manager and will be responsible for providing Clerical and Administrative support to the entire team.


A valid driver’s license and a reliable vehicle are required


Coordinator Tasks


  • Research and recommend solutions to design document problems, including conflicts, interferences, and errors/omissions
  • Understand and perform document control functions in accordance with on-site policy and procedures, including tracking and creating of RFIs, transmitting and tracking submittals, and maintaining a project expediting list
  • Assist with the monthly billings and change order billings
  • Maintain and update drawing logs
  • Assist the Project Manager where applicable, in the day-to-day activities of a project’s administration
  • Assisting in communication with subcontractors and creating reports or mass faxes
  • Work closely under the guidance and direction of the Project Manager to learn Ryson Construction’s systems and methods
  • Coordinate submittals and procure all close-out documents including warranties and Operating and Maintenance Manuals
  • Obtain quotations for Notices of Change
  • Assisting in the preparation of purchase orders and subcontracts
  • Assist in the estimating process – send tender invites, contact potential subcontract bidders
  • Assist with maintaining up-to-date RFI logs, track responses, and advise the Project Manager of the status
  • Duties may range from clerical tasks such as creating and maintaining manual files and photocopying to higher-level administrative projects such as assisting in the creation of procedural documents
  • Provide general administrative support including preparation of correspondence and meeting minutes
  • Assist in plan and spec analysis in order to provide clear, tractable, and coordinated interpretations of the design/drawings for construction including receipt and distribution, and tracking of shop drawings
  • Participate in the continuous updating and accurate generation of as-built documents
  • Act as liaison with subcontractors in expediting drawings and related information
  • Assist in fulfilling Ryson Construction’s commitment to safety.
  • Collection and processing of subcontract documents
  • Coordinate periodic job-related photographs for records
  • Attend project coordination and owner/contractor/architect/engineer meetings as requested or required
  • Perform additional assignments and responsibilities as assumed or requested by the supervision


Skills


  • Detail oriented
  • Effective multitasking and organizational ability
  • Working knowledge of safety requirements of NSCSA
  • First Aid and WHMIS are a must.
  • Proactive
  • Able to work with little supervision at times, while performing well in a team environment on a daily basis
  • Be familiar with various software apps i.e. Basecamp, site docs, etc
  • Ability to assume responsibility and to interface and communicate effectively with others. Effective oral and written communication skills and ability to represent the company and project team in a professional manner to the Client and related project staff


Education/Experience


  • A successful graduate of the two-year Construction Administration Technology Program at the NSCC
  • Proficiency with AutoCAD would be considered a requirement.
  • Safety orientated.
  • Proficient knowledge of MS Projects, Excel, Word, and Outlook
  • Working knowledge of construction equipment and techniques, drawings and specifications, building materials, and required standards applicable to the discipline
  • Proficient with Inventor is a requirement.
