As a Project Assistant, you will join the Ontario team from either our Mississauga office or Guelph office. Like all members of our team, you will have a diverse range of responsibilities. The successful applicant will be involved in a broad range of projects with responsibilities as follows:
- Maintain active communication with managers, project managers, and technical personnel
- Print and bind documents on an as-needed basis
- Build relationships with the document services team, as well as various technical teams, with a focus on our eastern Canada operations
- Actively participate in maintaining Matrix’s strong safety culture
- Maintain accurate and up to date project files
- Manage a high-volume workload and meet firm deadlines
- Support multiple team members and projects through proofreading, copy editing, formatting, compiling, and delivering technical documents, including proposals, work plans, letter reports, formal reports, and other corporate documents
- Prepare custom templates and style sheets to meet clients’ and Matrix’s standards
- Provide office administration support on an as-needed basis
- Formatting/editing project briefs, personnel resumés, and non-technical supporting narratives
- Flexible availability for extra hours/overtime to support team goals and ensure project success
What We Are Looking For
- Previous experience in a consulting engineering environment is considered an asset
- Knowledge of Microsoft® Visio, Microsoft® Project, or Jira™ would be considered an asset
- Strong proofreading and copyediting skills (grammar, spelling, punctuation, composition)
- Self-starter with the ability to work in a fast‑paced environment managing and prioritizing multiple requests
- Exceptional communication and time management skills
- Outstanding attention to detail and pride in producing high quality work
- Advanced-level skills in Microsoft® Word
- Intermediate-level skills in Microsoft® Excel, Microsoft® PowerPoint, Microsoft® SharePoint, and Adobe Acrobat Pro
- Experience preparing documents that comply with the standards of theAccessibility for Ontarians with Disabilities Act (AODA) and knowledge of WCAG 2.0 would be considered an asset
- Three to four years of previous experience proofreading and copyediting reports, proposals, and other technical documents
