The Vancouver Fraser Port Authority is responsible for the stewardship of the Port of Vancouver, Canada’s largest and most diversified port. The Project Controls Coordinator is responsible for the coordination of the preparation and tracking of submissions, request for new and amended contracts, purchase orders and special case agreements as required. The coordinator coordinates the production of infrastructure project reports for the Major Capital Project Committee (MCPC). The role also provides support in contract administration as needed. The Project Controls Coordinator supports all teams in the Infrastructure Division.
In This Role, The Successful Candidate Will
Accountabilities
  • Complete and formally submit submissions for the division in close collaboration with the project teams, project controls, and legal departments.
  • Assemble and prepare preliminary submission and circulate within the project/department for initial and informal review.
  • Liaise with relevant departments to address issues related to submissions or the process.
  • Track the progress of the review and approval of the submissions and work with the project teams to address issues and comments as they are raised by reviewers and approvers.
  • Track and support the resolution of any issues related to the contract requests with the relevant project
  • Collaborate closely with the project teams, legal, insurance, project controls, and procurement departments to prepare and submit contract requests for new, amended, and special agreements (such as NDAs), needed for the projects.
  • Coordinate the division reporting to MCPC, to ensure a timely production, review, and delivery of the reports to the satisfaction of the executives and directors, working closely with the Executive Assistant for the VP Infrastructure.
  • Elaborate and maintain reporting guidelines and related materials for MCPC and Board reporting
  • Support project contract administration team in various areas including contract set up (project and contracts specific templates, file structure), maintaining contract and change logs, tracking and expediting invoice reviews, tracking change requests, drafting contract status summary reports, contract close-out.
Specific Competencies
  • The ability to plan and work independently with little supervision is required.
  • The candidate will be a self-motivated individual with excellent interpersonal skills, including tact and diplomacy, and ability to work effectively and positively with staff across the company up to executive level.
  • The successful candidate will be a team player with a "customer service" focus and will possess excellent organizational skills and flexibility to perform a diverse portfolio of tasks.
Education & Experience
  • Completion of a post-secondary diploma in business, or another acceptable diploma from a recognized institution, along with a minimum of 5 years related experience in contract administration or project coordination, control, or reporting in large capital infrastructure projects.
  • Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) designation or equivalent is considered an asset.
  • A high level of computer proficiency is required, including expertise with Microsoft Word, Excel and PowerPoint. Experience with database software is also an asset.
