The Operations Administrator will assist the Alio team in administrative functions related to Alio’s business operations. The Operations Administrator will coordinate meetings and calendars and provide administrative support to the Patient Support Programs (PSPs). This role is responsible for monitoring phone lines, taking meeting minutes, and supporting general financial responsibilities as needed.
Accountabilities
The Operations Administrator will assist the Alio team in administrative functions related to Alio’s business operations. The Operations Administrator will coordinate meetings and calendars and provide administrative support to the Patient Support Programs (PSPs). This role is responsible for monitoring phone lines, taking meeting minutes, and supporting general financial responsibilities as needed.
Accountabilities
- Coordinate management calendars and schedule meetings
- Monitor phone lines and general inboxes, ensuring to respond promptly to calls and emails
- Administrative tasks to support Patient Support Programs as requested by management
- General administrative duties such as creating and updating spreadsheets and reports, assisting with creating program materials and presentations, and supporting special projects as requested
- Attend all meetings required and take meeting minutes
- Fulfil other duties as required.
- Provide regular progress reports and updates to management
- Identify and implement process improvement initiatives to increase efficiency and reach maximum productivity
- Process invoices, generating expense and requisition forms
- Strong interpersonal and customer service skills
- Strong attention to detail
- Ability to multitask efficiently
- Demonstrated analytical and organizational skills
- Ability to work both autonomously and as part of a team
- Excellent verbal and written communication skills in English
- High level of initiative
- Strong organizational skills
- Proficient in MS Office, including Teams, PowerPoint, Excel, Outlook
- English and French bilingualism is a strong asset
- 2+ years of general administrative experience
- Post-secondary education
- Experience in health-related field
