Job Description
We are now recruiting for a dedicated Office Support / Administrator to join our friendly and dynamic team. You will report to the Office Manager.


You will be responsible for:


General admin including managing outgoing post/emails and filing


Compiling and maintaining resource administration, including local records systems and management information


Production of regular ad hoc reports and support both annual/periodical audits


Undertaking general reception duties and welcoming visitors when required


Responding to queries and complaints, escalating where necessary (email/phone/in person)


Collating data and compiling monthly reports


Operating job allocation system Alloy, ensuring that all required response times are applied, following up queries with management as required and updating jobs with notes


Raising proactive jobs through the job allocation system Alloy


Raising and GRNing Purchase Orders using Sapphire and paperless systems


Assisting operational staff


Note taker in meetings


Role Requirements


Demonstrable ability to prioritise tasks, manage time effectively to ensure deadlines are met


Relevant experience of maintaining and manipulating computerised/paper-based data/information


Proficient IT skills with a good working knowledge of word processing (Word or equivalent) and spreadsheets (Excel or equivalent) and a willingness to learn new applications and technology as appropriate


Demonstrable ability to work on own initiative, both independently and co-operatively as part of a team


Demonstrable ability to file and retrieve information, both in paper and electronic formats and an understanding of the need to handle information securely and confidentially
