Reporting to the Supervisor, Meals on Wheels, the Meals on Wheels Program Assistant is responsible for providing support to the Meals on Wheels (MOWs) Program by performing a variety of duties. Ensuring that clients of the MOW Program receive the services that they have requested, that Dixon Hall staff have resources they require to serve clients, and volunteers experience opportunities that are both meaningful and supportive of the goals and mission of the MOW Program and Dixon Hall.


The Program Assistant is required to perform their duties in a manner consistent with Dixon Hall’s Mission, Vision and Values, ensures safety, and demonstrates customer service excellence.


Operational Responsibilities


Duties and Responsibilities


  • Print daily route sheets
  • Liaise with food source(s) and partner(s) as required
  • Report volunteer issues or concerns to the Volunteer and Philanthropy Coordinator and Meals on Wheels Supervisor
  • Provide volunteers with appropriate instructions, materials and support
  • Respond to client inquiries, issues and/or concerns
  • Follow up on client problems or emergencies, inquiries and complaints and communicate critical information to the Meals on Wheels Supervisor
  • Deliver meals when necessary
  • Work with staff drivers to ensure that meals are picked up from food source
  • Foster positive relationships with clients, volunteers, and staff
  • Ensure that the kitchen is restored to order at the end of each shift
  • Assist with other duties as required
  • Assist with the scheduling, direction and support of Meals on Wheels volunteers
  • Communicate client updates to the Meals on Wheels Supervisor


Administrative Responsibilities:


  • General computer data entry
  • Maintain client documentation and statistics


Organizational Responsibilities:


  • Undertake other tasks and responsibilities as assigned, within the purview of the job description.
  • Work under the guidance of the Agency and program policies and procedures, including the Mission, Vision and Values of Dixon Hall
  • Meet regularly with Supervisor to discuss individual, team and program effectiveness.
  • Actively participate in Department and Agency meetings and events
  • Work collaboratively with the Department and Manager and other Dixon Hall staff and volunteers


Minimum Qualifications And Specifications


  • Experience and knowledge in using various data bases and Windows based applications.
  • Ability to work independently with minimal supervision and as part of a team.
  • Good problem problem-solving skills
  • Attention to detail and excellent follow through skills with the ability to take initiative.
  • Relevant University Degree or College Diploma (all foreign degrees recognized)
  • A valid driver’s license is an asset.
  • Experience supervising or managing volunteers.
  • A second language is an asset
  • Flexibility
  • Ability to manage multiple competing priorities in a fast-paced work environment.
  • Experience in working with seniors and disabled adults.
  • Excellent communication, interpersonal and organizational skills
