Purpose And Summary Statement


Under the direction of the Operations Supervisor, the Dispatch & Operations Coordinator efficiently manages and coordinates daily operations, resources, and personnel to ensure the smooth execution of tasks and services. This role plays a crucial part in optimizing productivity, maintaining effective communication, and responding to unexpected challenges in real-time. Responsible for the daily oversight of operations staff and the day-to-day safe operation and maintenance and/or security of equipment and machinery of moderate capital value, such as custom application truck and plant equipment. Coordinates the various business segments, and related services, ensuring that functions are carried out in a safe efficient manner while delivering value to customers. This role also provides a wide variety of administrative support and clerical functions, including creating batch and delivery tickets as well as providing customer service in a timely and accurate manner to increase customer satisfaction. This position requires a working knowledge and proper handling of crop protection, seed, grain, delivery, application and bulk & bagged fertilizer and overall operations. May be required to run/operate application equipment, work at the elevator, in the shop, and/or deliver product with trucks from the elevator, and warehouse.


Essential Job Functions


Communicates with and advises customers on use and application of products sold.


Coordinates efficient usage of available application equipment.


Dispatches and coordinates delivery of products to customers and assists in processing invoices as required.


Maintains a current knowledge of product applications, technical services, market conditions, competitive activities, advertising, and promotional trends through the reading of pertinent literature and consulting with marketing and technical service areas.


Schedules shipping and receiving of products and services and ensures the proper receiving of product going in or out of the location is recorded accurately and in a timely manner.


Arranges work schedules and determines production and delivery priorities, based on the orders received and on a least cost basis.


Responsible for ensuring full utilization and maintenance of assets and proper cleanliness practices are continuously being followed. Ensures the overall appearance of the inside and outside of the premises is maintained in a professional and organized manner to promote and enhance the image of the Company.


Drives and operates plant equipment and machinery, such as, bobcat, grain dryer and grain fertilizer elevators, forklifts and/or trucks safely which includes performing the required daily checks to minimize risks, injury, and property damage, inside and/or outside the facility as required. Operates equipment (i.e. forklifts, crop applicators) in accordance with established safety standards and proper vehicle operation techniques.


Performs and records daily safety checks of assigned vehicle(s) and associated equipment by conducting pre-trip inspections such as checking fuel and oil levels, inspecting tires, lights, and brakes. Follows the preventative maintenance program and keeps truck clean to maintain professional appearance.


Loads and unloads containers, pallets, or materials and products, safely on trucks, trailers, or railcars by hand or by forklift truck.


Maintenance of equipment and/or vehicles including: lubricating parts, checking fluid levels, refilling equipment tanks and replacing filters in order to improve performance.


Ensures that product in storage meets quality standards and is stored and handled in a safe and organized manner.


Blends fertilizer, weighs tanks, assists in inventory pre-listing and physical counting, as required, and creates blend sheet on daily production schedules for general fertilizer products, as well as crop protection combination products.


Ensures that proper vouchers are completed on all incoming goods and verifies the correctness of receipts against bills of lading or other records, checks for shortages, identifies damaged goods, etc.


Completes all assigned record-keeping duties, such as vehicle logs, records of sales, delivery information, and application records, in a timely manner.


Counts inventory monthly and records this inventory on count sheets to be calculated by Branch Manager.


Other Job Functions


Provides assistance with general office duties such as, opening, dating, sorting, distributing mail, as well as preparing courier bags for pickup, distributing, updating forms, address labels, mailing lists and maintaining customer files.


Creates and participates in presentations during customer meetings and trade shows as required.


Actively participates in education and training provided by GROWMARK with the purpose of maintaining and developing technical and industry knowledge and to enhance customer service.


Adheres to all company policies, procedures, and business ethics codes in all areas, e.g. safety, credit, proper management of assets, pricing, uniforms, etc. and maintains the appropriate professional image.


Provides assistance in preparing delivery tickets/bills of lading and quantities shipped prior to completing the customer invoice.


Provides assistance to operations staff in shipping and receiving products in timely manner, as well as help with facility housekeeping and maintenance.


Follows GROWMARK Workplace Health, Safety & Environmental policies and procedures. Under the Occupational Health and Safety Act (OHSA) employees must: use or wear any equipment, protective devices or clothing required by the employer; report any known workplace hazard to the employer or supervisor; report any known contravention of the Act or regulations to the employer or supervisor; not use or operate any equipment or work in a way that may endanger any worker.


Many duties are seasonal in nature, therefore these tasks will rotate throughout the year.

May be required to work extended hours, particularly during peak seasons.


Must have or be able to obtain various licenses, permits and certificates, as required, e.g.: forklift certification, TDG as well as must have and maintain a valid class G or DZ driver’s license (depending on work location), and a clean driving abstract.


Must be able to be trained in GROWMARK’s Workplace Health, Safety & Environmental policies, and procedures, including Accident Reporting, Emergency Response Plan, Fire Safety, General Safety Rules, Health & Safety Rights, Health & Safety Roles and Responsibilities, Safe Manual Lifting, Slips Trips and Falls, and WHMIS.


May be required to be trained in the following: Agriculture Exterminator, Chemical Handling and Spills Response, Confined Space, Defensive Driving, Grain Handling, Hot Work, Lifting Devices (Forklift, Payloader, Skidsteer), Lockout/Tagout, Nutrient Technician, Pesticide Vendor, Respirator Fit Testing, Transportation of Dangerous Goods, Working at Heights/Fall Arrest.


JOB SPECIFICATIONS


Mental Effort


The incumbent works independently within established policies and work procedures and is called upon to make decisions within their scope of practice set by the Manager


Requires periods of concentration, normally moderate to occasionally high in intensity and attention to detail when handling various customer needs and preparing various reports in a fast paced work environment.


The incumbent may encounter moderate to occasionally high mental stress increases when dealing with meeting deadlines, sometimes unclear information and in handling customer queries/issues, other departments and manager’s requirements that require refocusing. This position may be required to give presentations to groups, which may cause anxiety and stress for some individuals.


Physical Effort


Most of the incumbents time is spent either in a sitting position while working at a computer screen or periods of walking. Possible eye strain from using computers for long periods of time on a daily basis.


Occasional lifting, carrying and putting away parcels weighing up to 50 lbs may be required. Physical demands include occasional turning, bending, pulling and reaching throughout the shift to accomplish tasks. This position may also require driving to various locations.


Working Conditions


Work is conducted both in a typical office environment and outdoors (i.e. crop monitoring) at various customer and GROWMARK facilities. Travelling may include driving on gravel roads for extended periods; driving in occasional storm-like conditions as well some overnight stays may be required. Additional hours or time outside of normal hours may be necessary due to operational requirements.


Employee may be exposed to noise around farm machinery, odors, and varied surfaces, as well as frequent exposure to dirt, dust, and fumes for a short duration when working in the field and/or working in the fertilizer warehouse or grain elevator. Exposure of fertilizer, crop protection products, grain dust, and fuel on a moderate basis can lead to headaches and skin irritation.


CSA approved safety precautions must be used while handling chemicals, and fertilizer. Long pants or coveralls must be worn when handling such products and while walking through fields and test plots. Other personal protective equipment maybe required to be worn such as safety glasses, hearing protection, respiratory equipment and fall arrest equipment.
