The Toronto Corporate On-Call Receptionist represents Brookfield and the Brookfield brand by creating an appropriate & professional “experience,” for all guests and business associates when they visit the corporate office. This role provides temporary coverage, at the reception desk for and client conference center, representing 800 employees and 7 business units. As the first point of contact for guests, the Corporate Receptionist must always present an energetic, polished, professional image to the public and Brookfield personnel while providing prompt information and assistance.


The Corporate Receptionist is responsible for welcoming all guests while managing the main Brookfield telephone lines, inquiry resolution, conference center as well as other detail-oriented, administrative tasks in a fast-paced, multi-business unit environment.


Successful candidates are hired on-call to provide vacation / leave coverage and given the opportunity to remain on-call or work part-time or full-time hours by applying to internal vacancies.


Responsibilities


Guest and relationship management


  • Direct all internal and external visitors, clients and corporate executives to meeting rooms accordingly
  • Proactively manage meeting room conflicts, such as meetings running long or double bookings
  • Direct all internal and external visitors, clients and corporate executives to meeting rooms accordingly
  • Swift and courteous acknowledgement and action of all incoming emails from staff; proactive coordination with staff regarding visitors, meetings and meeting requests according to boardroom availability.
  • Greet & welcome all internal and external visitors, clients and corporate executives
  • Assist guests with coats, luggage, refreshments, wireless networks, etc.


General conference center


  • Screen all incoming phone calls and direct to appropriate parties; collect and distribute phone messages in close coordination with Brookfield administrative and executive staff members
  • Ensure the reception area/office is well maintained in coordination with facilities
  • Work in conjunction with ensuring the Day Matrons are up to date with meeting room requests and proactively ensure all rooms are fully stocked and kept clean post meetings


Administrative Support


  • Ad hoc correspondence, letters and tracking lists using Word, Excel and PowerPoint
  • Assist with coordinating team events
  • Assist the Office Services team with various administrative submissions on ad hoc
  • Keeping office services information system and resources updated accurately and timely
  • Order and track building security passcards, including Third Party Vendor cards


Other duties


  • Other duties as assigned
  • Assist the Conference Services Manager with ordering and delivery of all kitchen supplies
  • Work in conjunction with the Facilities Supervisor and building management to oversee office work orders (e.g. maintenance requests)
  • Working with the Office Services Manager to oversee messenger services, mail deliveries and other office services requests.


Qualifications & Requirements


  • Proficient user of Microsoft Office tools and Microsoft Outlook
  • Strong team player and works well with others by sharing responsibilities productively
  • Demonstrates superior self-organization and prioritization of responsibilities and assignments
  • Strong interpersonal and communication skills
  • Previous receptionist experience, specifically handling multiple requests and managing telephone lines
  • Polished, high-end demeanor, demonstrating tact, diplomacy, composure and discretion
  • Strong work ethic, "will do anything" attitude with flexibility to support requests outside of considered job scope
  • Consistent attention to detail and accuracy
  • High degree of professionalism, comfortable working in an executive & corporate setting
  • Post-Secondary Education required
  • Utilizes problem-solving skills in a deliberate and well-considered manner to resolve issues
  • Excellent verbal and written communication skills
  • Minimum 2 years’ experience in a receptionist or administrative support role in a busy, corporate setting
