Executive Assistant to CEO and President

We are seeking a highly organized, tech-savvy Executive Assistant with at least 5 years of experience to join our dynamic team in Downtown Toronto and provide direct support to our CEO and President.
Responsibilities:
As an Executive Assistant, you will be responsible for providing comprehensive administrative support to our CEO and President, ensuring the smooth operation of our fast-paced environment. Your duties will include, but are not limited to:
- Staying up-to-date with the latest technology trends and suggesting improvements to our technology stack
- Communicating and scheduling with the Board of Directors, ensuring timely responses to scheduling requests
- Coordinating and preparing materials for meetings, presentations, and conferences
- Planning and coordinating internal social events, including weekly gatherings, to foster team collaboration and engagement
- Communicating with internal and external stakeholders on behalf of the CEO and President
- Organizing and maintaining electronic and paper filing systems
- Coordination of onboarding / offboarding new hires
- Managing projects owned by the CEO and President, ensuring timely completion and progress updates
- Performing general office duties, such as ordering supplies, maintaining office equipment, and liaising with vendors
- Managing and maintaining the schedules, appointments, and travel arrangements for the CEO and President
- Managing the office internally, including coordinating with subletters and ensuring a well-organized and efficient workspace
- Assisting in the preparation of reports, proposals, and other documents
- Providing support for remote work technology, including video conferencing and collaboration tools
- Proactively scheduling and responding to shifting prioritization on executive calendars
Requirements:
- Experience with modern technology stack for remote working, including video conferencing tools (e.g., Zoom, Google Meet), project management software (e.g., Trello, Asana), and communication platforms (e.g., Slack, Microsoft Teams)
- A minimum of 5 years of experience in an Executive Assistant role, preferably supporting C-level executives
- A proactive attitude and a keen eye for detail
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides)
- Bachelor's degree or equivalent experience in a related field is preferred
- Willingness to come into the office as required
- Ability to work independently and collaboratively in a fast-paced environment
- Comfortable adapting to new technologies and learning new software quickly
- Strong written and verbal communication skills, with a high level of professionalism and discretion
