With over 700 members, the Vancouver Regional Construction Association is British Columbia's largest and most inclusive regional construction association. Via an ever-evolving suite of programs and services, we support union and non-union general and trade contractors, manufacturers, suppliers and professional services providers, who operate in the multi-billion dollar industrial, commercial and institutional construction industry throughout the Lower Mainland.
Our office is centrally located at 3636 East 4th Avenue, Vancouver, near the corner of Lougheed Highway and Boundary Road.
Position Summary
Reporting to the President, the Events and Sponsorship Manager will be responsible for the development, execution, and financial management of all VRCA events, including the Young Construction Leaders Network committee and the Life Members committee. You are responsible for designing and building VRCA’s sponsorship program, securing funding, and executing all partnership agreements.
Key Responsibilities
•Leads and guides the strategic direction of VRCA’s events and sponsorship program and collaborates across the Association on initiatives that support the strategic plan
•Continue to raise the bar on delivering first-class event and sponsorship experiences that add member value for the Association
•Provides input on long-term strategies and tactics to successfully grow member value through events and sponsorship opportunities, and delivers on agreed strategy
•Develop, manage, and reconcile the budget for all events and continue to drive profitability annually
•Responsible for the planning and execution of all events, including managing all required event materials (printed material, PowerPoint presentations, videos, handouts, name tags, couriers, plaques and trophies, prizes, swag, etc.) with business units
•Lead and manage the events team, establish performance standards to ensure quality, consistency, and on-time delivery of all events deliverables
•Oversee the negotiation of contracts for all event venues, external providers, and subcontractors, ensure appropriate approvals are obtained, approve invoices within delegated authority, and review final billing for all events
•Prepares and executes tailored approaches such as drafting sponsorship proposals and negotiates sponsorship benefits for companies sponsoring events, making recommendations and ensuring equity in recognition across events
•Work closely with all department managers to deliver event marketing and communication needs
•Oversee VRCA staff and volunteers at all events
•Work closely with VRCA’s senior leadership team; participate in weekly, monthly, quarterly, and annual planning sessions to establish, review, and map progress against the Operational Plan, as it pertains to the three-year Strategic Objectives
•Develop work plans and conduct regular check-ins and year-end performance reviews for relevant team members
• Travel as required to conduct site/venue inspection and be on-site during event delivery
What you bring
·At least 5 years experience and proven track record in planning, managing and promoting events ideally in a non-profit environment
·A track record of success in cultivating, securing and growing revenue from sponsors and/or in-kind partners
·Strong organizational and time management skills; proven ability managing a variable workflow with multiple priorities
·Strong interpersonal skills and attention to detail
·Willingness and ability to establish and maintain professional relationships at all levels, particularly with leadership volunteers, committees, and vendors
·Excellent communication and presentation skills – verbal and written
·Creativity and proactive self-starter who is comfortable operating in a complex environment, strong business acumen and entrepreneurial spirit
·Ability to identify and resolve issues, sometimes requiring a high degree of diplomacy and discretion
·Familiarity with the advanced features of Microsoft Office suite of products
·Expert understanding of events as engagement and advocacy mechanisms, including managing and working closely with volunteer committees, sponsors, members, vendors and suppliers to ensure all the activities meet targets
·Expert knowledge in the field of event planning, logistics, and project and relationship management
General
·Although office hours are 9am to 5pm, applicants must have the flexibility to start early or leave later as required
·Work is performed in a professional office environment
· Valid and clean BC Driving License and access to a vehicle is essential
