Position Overview:
We are seeking a versatile and detail-oriented professional to fill a unique role that encompasses both Logistics Analyst and Administrative Coordinator responsibilities. The incumbent will play a critical role in optimizing our supply chain operations while also providing essential administrative support to the team. This position requires strong analytical skills, excellent communication abilities, a solid understanding of logistics, and effective administrative coordination.
Key Responsibilities:
Logistics Analysis:
- Analyze data related to transportation, inventory, and distribution activities to identify operational inefficiencies and opportunities for optimization.
- Develop comprehensive reports, dashboards, and presentations to communicate logistics performance indicators and trends.
- Collaborate with cross-functional teams to propose and implement solutions for improved supply chain efficiency.
Supply Chain Coordination:
- Collaborate with procurement, warehousing, and sales teams to align logistics strategies with overall business objectives.
- Assist in the coordination of project tasks with staff members to ensure seamless workflow and effective project management.
- Monitor and evaluate the effectiveness of implemented changes and adjustments.
Administrative Coordination:
- Maintain the executive's calendar, schedule events, and provide daily briefings on appointments and priorities.
- Act as a backup for critical processes to ensure uninterrupted workflow.
- Oversee all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
Data Management:
- Ensure accuracy and completeness of received documentation, applying knowledge of legislation and regulations to identify and address issues.
- Maintain organized records of important documents such as reports, meeting notes, emails, and letters.
Vendor and Inventory Management:
- Evaluate carrier performance, negotiate contracts, and maintain positive relationships to ensure reliable transportation solutions.
- Interact with vendors and manage internal inventory/stocks, including requisitioning office supplies and services as required.
Process Improvement and Client Interaction:
- Address customer/client requests, including issues such as lost packages and various inquiries.
- Propose and implement process improvement initiatives to enhance operational efficiency in logistics and administrative functions.
Confidentiality and Professionalism:
- Uphold professional communication standards in interactions with internal and external stakeholders.
- Maintain a high level of discretion and confidentiality in handling sensitive information.
Requirements:
We're seeking candidates who bring:
- Tech Skills: Proficiency in Office 365 tools (SharePoint, Outlook, Word, Excel) for streamlined operations.
- Education: A post-secondary degree or diploma is an asset
- Experience: 1-2 years in administration or Customer Service, demonstrating communication and organizational prowess.
- Organization: Proven time management and organizational finesse for effective multitasking.
- Communication: Strong verbal and written skills, ensuring clear interactions with teams, clients, and vendors.
- Confidentiality: Upholding professionalism and confidentiality at all times.
- Research & Writing: Ability to analyze data and compile concise reports for informed decisions.
