The Human Resources Coordinator is responsible for supporting and coordinating the activities of the Human Resources team. The ideal candidate will have a consistent knowledge of the main human resources functions as well as experience with general administrative duties including processing bills and supplier forms for the HR department.


Main Responsibilities


Invoicing


  • Collect and track premiums received from provider and redistribute to appropriate organization
  • Set up new suppliers with supplier codes and payment methods and raise purchase requisitions in WorkDay
  • Prepare annual reconciliation (monthly payment against actual annual expense)
  • Retrieve monthly invoices from provider portals
  • Track benefit expenses and file vendor invoices
  • Review and reconcile invoices and contact vendors for corrections and changes; allocate to companies and classes; document support for intercompany billing; submit for payment


Benefits Administration:


  • Process enrollment, status change and departure forms for active employees and retirees for all health and welfare benefit plans in Canada and the USA
  • Work closely with the HR Generalist to solve issues and respond to enquiries
  • Manage benefit inquiries, requests and concerns as the first point of contact
  • Assist with providing employees with benefit communications and various materials such as wallet cards, log-ins, passwords and benefit summary sheets
  • Assist with annual benefit renewals as required


General Human Resources:


  • Support the annual Code of Ethics acknowledgement process
  • Assist with various HR projects
  • Assist the HR Generalists with the preparation and coordination of the new hires’ orientation and ensure that all on-boarding forms are processed
  • Data entry in the HRIS (new hires, terminations, status changes etc)
  • Administer and coordinate the years of service recognition program
  • Administer the off-boarding process (departure letters, checklists)
  • Respond to general inquiries from employees and retirees
  • Coordinate annual employee events
  • Support the performance management program
  • Maintain and update employees’ employment, benefit and training files (electronic and hard copies)
  • Prepare correspondence, presentations, and expense claims


Education And Experience Required


  • Between 3 and 5 years of similar HR work experience in a private sector, fast paced business setting
  • Proficiency with MS Office (Word, Excel, HRIS, various benefit platforms)
  • Proven ability to work independently, under pressure and to multi-task
  • Good understanding of the HR functions
  • Effective interpersonal, communication and time management skills
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills


Specialized Knowledge, Skills And Abilities


  • Knowledge of Vista HRIS, WorkDay for billing and Purchase Requests are considered an asset


Decision Making and Supervision


  • Exercises initiative in making sound independent decisions regarding the planning and establishment of priorities to ensure timely completion of all tasks in order to meet required commitments
  • Makes decisions and recommendations within established guidelines and procedures
  • Exercise initiative in adapting and applying procedures
  • Independent judgment in planning, scheduling and organizing work assignments
