Job Description

Are you a detail-oriented individual with a passion for organization and providing exceptional administrative support? We are seeking a highly motivated and reliable Administrative Office Assistant to join our dynamic team. Responsibilities:

  • Collaborate with team members to ensure seamless office operations and effective communication.
  • Answer and direct incoming calls, take messages, and respond to inquiries promptly and professionally.
  • Handle incoming and outgoing mail, packages, and deliveries efficiently.
  • Assist in organizing and coordinating meetings, conferences, and events, both virtually and in-person.
  • Monitor and order office supplies, ensuring inventory levels are maintained.
  • Provide comprehensive administrative support to the team, including scheduling appointments, managing calendars, and making travel arrangements.
  • Perform general administrative duties as assigned to contribute to the overall success of the organization.
  • Assist with data entry tasks, including updating databases and spreadsheets accurately.
  • Prepare and edit correspondence, reports, and presentations with a keen eye for detail.
  • Organize and maintain physical and digital files, ensuring documents are properly stored and easily accessible.

Qualifications:

  • Strong organizational and multitasking skills with the ability to prioritize and meet deadlines.
  • Proactive and self-motivated, with the ability to work independently and take initiative.
  • Strong interpersonal skills and the ability to work collaboratively as part of a team.
  • Excellent written and verbal communication skills in English.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Detail-oriented mindset with exceptional accuracy and attention to detail.
  • High school diploma or equivalent; post-secondary education in office administration or related field is a plus.
  • Previous experience in an administrative or office support role is preferred but not required.
  • Tech-savvy with the ability to quickly learn new tools and systems.
