ROLE DEFINITION
We are seeking an Executive Assistant to support our Canadian President and Senior Leadership team. This role will provide a diverse mix of professional, confidential administrative support to the DuPont Canada leader in the execution of her duties as President of the Canada Region and Global Customer Service Director for the Electronics and Industrial business as well as other senior Canadian leaders as needed.
Note: This role is located at the Company’s Canadian headquarters. DuPont Canada offers a hybrid work environment. Hybrid working 60/40 onsite is required or as needed to support a 5-day workweek. Incumbent must live within a commutable distance to the Mississauga, Ontario corporate site.
Responsibilities Description
Responsibilities will involve work of a confidential nature, necessitating exposure to sensitive information and contacts, requiring discretion, judgment, and diplomacy.
The role incorporates establishing a close working relationship with senior leadership in the country and globally as well as with Canadian employees to ensure effective processes and information flows are in place.
Your key responsibilities will be/what you’ll do:
  • Provide administrative assistance, such as writing and editing e-mails, drafting memos on the Country President’s behalf, preparing and/or editing presentations.
  • Manage day-to-day schedule of Country President, making appointments, prioritizing the most sensitive and important matters and ensuring optimum use of time.
  • Provide confidential administrative support, including but not limited to:
  • Arrange meetings, including scheduling, sending reminders and organizing catering when necessary for internal and external engagements.
  • Act as liaison for President with the ability to handle varying requests.
  • Answer incoming calls in a professional manner, respond as appropriate, and prioritize for leader action.
  • Coordinate travel arrangements (both domestic and international) and create trip itineraries.
  • Adhere to and respect DuPont’s Core Values.
  • Manage expense reconciliations.
  • Coordination of regular country leadership team meetings, including setting dates, issuing invitations, coordinating travel/hotel arrangements for attendees, working with leaders to set agenda and coordinating presentations.
  • Assist in key presentation decks and support leaders in their updates.
  • Maintain comprehensive and accurate company records, documents and reports in accordance with DISO requirements.
  • Excellent organization and time management skills and ability to meet deadlines in a quickly changing environment.
  • Comfortable with working in a dynamic environment while balancing competing priorities.
  • High level of computer proficiency and full understanding of the full Microsoft Office suite of tools.
  • Bilingual (French/English) would be an asset.
  • Coordinate company and policy updates on local intranet site, working with compliance resources and content owners to ensure information is accurate and up to date.
  • Ability to act as gatekeeper and escalate relevant information to executives as needed.
  • Excellent interpersonal skills.
  • Demonstrated ability to treat confidential information with appropriate discretion.
  • Incumbent should have minimum 5 years of proven experience as an executive assistant or other relevant administrative support experience working with senior leaders and external customer/contacts, including media representatives.
  • Exceptional attention to detail.
  • Work with Country President and leadership team to support key country communications processes, including:
  • Act as contract administrator for processing of invoices in support of key Corporate suppliers, including translation and recognition service providers.
  • Manage translation support for the organization.
  • Coordination of all aspects of all employee meetings and town hall calls, including setting dates, issuing invitations, providing technology support, coordinating agenda and speaker readiness with communications resource, and issuing presentation notes.
  • Professional verbal and written communication skills.
  • College diploma, administrative professional accreditation (Canadian Certified Administrative Professional) or equivalent experience is required.
  • Provide support to key HR processes as required, including recognition program administration and campaigns and service award administration.
  • Issuance of leader communications.
  • Work with Crisis Management team in Canada and Globally to maintain and distribute up to date plan.
  • Proactive problem-solving and ability to act independently.
