As we take on this exciting new challenge, we are seeking an experienced Client Services Coordinator to join us.


As we work with a hybrid remote policy, only residents of the Lower Mainland will be considered at this time as we do require team members to collaborate in office. This is not a full-time remote opportunity.


Come join our Client Services team! In this dynamic administrative role, you will be responsible for supporting deal origination and movement through the business development funnel, support client relationships, and ensuring smooth operations within the department. You will collaborate and support our Operational Leads and Executive team, utilizing HubSpot for data integration, track leads and support client service agreements and proposals.


We are looking for a proactive and detail-oriented individual with excellent communication and organizational skills pertaining to administrative functions. The successful candidate will have a strong understanding of HubSpot, accuracy with proposal and contract writing and possess a keen interest in real estate markets.


The core responsibilities for the role include:


RESPONSIBILITIES

  • Presence in initial client meeting to understand client project(s) and needs as it relates to Advisory services and/or S&M services
  • Initiate industry and team connects to gather new information or get an update on existing projects
  • Represent MLA Canada at industry networking events as needed
  • Day-to-day collaboration with Partners & Operational leads (client dependent), as well as the Director of Advisory for Advisory only contracts
  • Support in leading weekly Client Service meetings, level 10 adherence and asana use
  • Develop and maintain a deep understanding of internal sales and marketing processes, products, strategies and designated client business and portfolio issues
  • Produce and facilitate market presentations (including powerpoint) to showcase market intelligence and provide a preview into our services and offering
  • Deep understanding of Hubspot, both internal practices and processes, but also trouble shooting and solution finding
  • Priority to ensure that data, metrics and Scorecards are being used to guide the department
  • Support deal origination via multiple channels (including but not limited to Hubspot, Asana, email), track leads, follow-up and manage pipeline/clients in conjunction with the Operational leads
  • Compose and manage client service agreements and service proposals and verification from Operational leads, including accurate data inputs into Hubspot
  • Outline and ensure accountability to clear process management through the client journey with an emphasis on maximizing repeatability and supporting conversion
  • Maintain an understanding of the micro and macro real estate markets as it relates to subject clients, subject projects and MLAs geographic focus

WHAT YOU BRING TO THE TABLE

  • Proficiency with Google Apps, MS Office applications (Office 365)
  • Deep understanding of urban analytcsclient relations, and contract and/or proposal writing
  • Experience with Hubspot is preferred
  • 1-3 years of experience in an administrative capacity preferred
  • Outstanding interpersonal communication skills
  • Outgoing, personable attitude
  • Executive assistant experience considered an asset supporting key stakeholders
  • A high-level of professionalism, diplomacy and tact
  • An amazing attention to detail with an ability to thrive in a fast-paced environment
  • Experience in real estate industry considered an asset
  • Superior organizational skills and exceptional ability to manage various tasks with ease
  • Ability to produce results independently while maintaining a positive team environment
  • An entrepreneurial mindset and likes to take ownership of projects and deliverables
