Administration Associate for Smart Investments & Insurance Services Ltd

Location: North Vancouver BC

Type: Part-Time (ideally ‘Hybrid’, in-office/remote)

Compensation: $30/hour (see below for further details)

We are located on Lonsdale Ave at 8th St W in North Vancouver. Our team is currently 2 folks (Kelsey and Roanne) + 2 "office dogs" (Arrow and Gabi). Please note, per the terms of the office lease agreement, we must limit “Office Pets” to Arrow and Gabi only on-site. Smart Investments shares an office with another 3-person financial advisory team.

Seeking a part-time Administration Associate, ideally 20-26 hours per week. This role will ideally be hybrid, i.e., a combination of in-office and work-from-home (initial training to occur primarily in-office). However, we can discuss fully in-office, if this is preferable. Roanne, the Operations Team Lead, will be the Administration Associate’s direct support. On-the-job (primarily in-office) training will be provided in investment and insurance administration for this role.


The Administration Associate role includes:

  • Processing documents via Docusign
  • Internal communications on Microsoft Teams
  • Diarized follow-ups on transactions and financial processing
  • Email and phone correspondence (internal and client-facing)
  • Processing transactions and updates for clients
  • Identifying inefficiencies and proposing solutions; collaborate on increasing efficiency of our team’s operations
  • Participation in periodic JEDI programming
  • Data entry, including Microsoft Excel spreadsheets
  • Various reception duties: answering the phone, greeting clients, mailing or couriering documents, occasional bank deposits, sending/receiving faxes, assist with maintaining office supply inventory
  • Keeping notes and workflows in our Client Relationship Management (‘CRM’) tool, Nimble
  • Preparing investment and insurance paperwork
  • Weekly or bi-weekly team meetings
  • Generating reports and pre-populated documents


Depending on the successful applicant’s interests and experience, the Administration Associate might participate in:

  • Social media content creation and editing (e.g., Canva)
  • JEDI resource collaboration
  • Image descriptions for social media content
  • Saying hi, and dispensing treats, to Arrow and Gabi
