We are seeking a skilled and seasoned Senior Support Specialist (Executive Assistant) who can assist with the streamlining of our business operations and help keep the team on track. This role is integral to our organization, acting as a critical component that keeps our operations running smoothly. This remote, part-time role requires 10-20 hours per week, with flexible hours depending on project requirements.
Key Responsibilities:
- Confidentiality:Maintain strict confidentiality in all matters, as you will likely be privy to sensitive company information.
- Executive Support:Proactively manage and prioritize the Founder’s schedule, including personal and business appointments. Anticipate the executive's needs and act accordingly.
- Communication Management:Draft correspondence on behalf of the Founder, prepare presentations, and act as a point of contact for external stakeholders.
- Project Coordination: Collaborate on projects and oversee specific administration elements for said projects, ensuring completion promptly and efficiently, requiring strong organizational skills and the ability to coordinate with various team members.
Required Skills and Qualifications:
- Proficiency in various computer programs: Outlook, Google Suite, Microsoft Business Suite, Zoom, Teams, Mailchimp,
- Excellent problem-solving skills and ability to adapt to changing priorities
- Background or experience in Business Administration or a related field, or the equivalent of 2-5 years of experience and education combined
- Ability to work independently with strong time management skills
- Familiarity with project management tools, such as Asana and Slack
- Understanding and emotional intelligence to adapt to the needs of a start-up business in an ever-changing industry
- Strong communication skills for internal and external use
Preferred Candidates:

Those with a business/entrepreneurial background or past management experience
Compensation:
The salary will be determined based on the candidate's experience and necessary training, starting at a living wage. Following a 6-month assessment period, the opportunity for wage growth discussion will be available. After a year, we will discuss potential inclusion in a healthcare and savings/investment program.
Performance Evaluation:
We will operate on a 6-month onboarding time frame, with another 6 months for settling into the role. These periods will be internal to provide feedback and self-assessment. This feedback loop allows us to ensure the role is fulfilling for the assistant and effective for the organization.
Additional Information:
While this role is remote, we require virtual team/executive meetings twice monthly. Although the ability to travel is a preferred attribute, it's not a requirement for this position.
Expectations:
As this role is very fluid, it will require the successful candidate to manage personal and business calendars efficiently.The successful applicant will report directly to the founder/Lead Curator of the company, which will involve scheduling, prioritizing and re-prioritizing tasks based on an ever-changing set of needs and circumstances.
