The Coordinator, Records Management an experienced-level position, provides expertise on a project or request basis and will be expected to support a Firm-wide Records Management Program and Department in accordance with the Records Management Policy and Procedures.
Responsibilities
  • Justifies and recommends purchase, disposition, or acquisition of equipment and supplies within area of assigned responsibility.
  • Assists with Departments Intranet content as per Managers directions.
  • Assigned to oversee daily operations in the client offices and contributes to national program initiatives.
  • Socialize and train for compliant Records Management practices.
  • Maintains departments official records and retention schedule
  • Co-ordinates implementation of process changes and program management forms.
  • Contributes to the creation, maintenance, and updating of retention policies, schedules and procedures.
  • Coordinates standard reporting and reviews and reconciliation of instructions.
  • Co-ordinates / processes file transfers (incoming and outgoing)
  • Engages with stakeholders and review business processes to identify business needs and support development of functional/technical requirements.
  • Oversees and reports on vendor performance and manages online account profiles.
  • Enforces program compliance and assists in assessing risk to address potential liabilities
  • Travel as required
  • Co-ordinates execution of Legal Holds and Outside Counsel Guidelines as it relates to Records Management
  • Ensures daily tasks are completed and service levels are maintained for their assigned regions (maintains service excellence standards).
  • Records Management System – ensures consistent use and responsible for data integrity
  • Co-ordinates special regional projects – File reduction, digitization, closing, reviews for disposition.
  • Contributes to projects as directed and coordinates with Administrators to manage and execute.
Education & Experience
  • High School Diploma or equivalent experience
  • Minimum 2 years of experience working in a records role
Skills
  • A team player with excellent interpersonal skills
  • Perform workflow / gap analysis
  • Ability to lift 30-50lbs. as necessary
  • Ability to work independently, follow instructions with minimal supervision and take initiative
  • Advanced filing and classification knowledge, search techniques and processes in all formats
  • Minimum 3-5 years relevant Records Management experience. An equivalent combination of education, training and experience may be acceptable. Legal industry experience is preferred.
  • Strong professional presence and conduct, able to work with senior management of the Firm
  • Understanding of firm legal, regulatory and operational environment
  • Proficiency in computer systems and software applications including Microsoft Office (Outlook, Word, Excel) as well as the firm’s Document Management System, Records Management Software, Document Imaging Software, and any additional firm applications used to manage client matter records and information
  • Communicate effectively with peers and stakeholders verbally and in writing
  • Ability to work overtime when necessary
  • On site full time with virtual work pre-approved by Senior Manager, Office Services and Facilities.
  • Strong typing and data entry skills
