A boutique downtown Vancouver law firm is seeking a full-time Receptionist. Our lawyers practice exclusively in the areas of tax, estate and trust planning and administration, and related litigation. We are committed to being leaders in our respective areas and staying current on the latest legal developments. This position is designed to provide a high level of service to our clients, lawyers and staff. The successful candidate will be in the office, full-time, and will perform general reception duties including: answering phones, greeting visitors, processing mail and deliveries as well as providing assistance with administrative tasks, including library maintenance, preparing and posting deposits and opening files. The hours for this position are Monday to Friday, 8:30 a.m. to 5:00 p.m. Reception • greet and direct clients and other visitors • operate and manage switchboard • manage and update meeting room and conferencing calendars • sort, open, log and stamp incoming mail and manage all incoming and outgoing courier/agent deliveries • receive and distribute faxes • coordinate catering services for meetings • clean and tidy boardrooms and hostess kitchen Administrative • open client files through accounting software, including performing conflict searches • process credit, debit and cash payments from clients • order and receive library books and inserts and maintain library database • provide support for telephone and conference call system Qualifications Minimum two years reception/office experience in a professional environment. Previous law firm experience an asset. Proficient with Microsoft (Word, Outlook, Excel). Excellent written and spoken English, organizational and attention to detail skills. Excellent problem-solving, interpersonal and customer service skills are required. Completion of an office administration program is an asset.
