Adecco is currently hiring for a full-time Project Coordinator, to work a 1-year contract at a well-established integrated oil and natural gas company, in Calgary, AB. The Project Coordinator’s primary role will be to work closely with the Project Manager, project team members and vendor resources, and synchronize all the operations involved in the successful running of the project.
This involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
- Job type: Full-time | 1-Year Contract
- Location: Calgary, AB | In-office
- Shifts: Monday to Friday | 40 hours/week
Duties and Responsibilities:
- Perform other financial activities and reporting as required
- Engage with the project team to identify and define requirements, scope, and objectives
- Monitor project schedules for variance against baselined milestones
- Build and maintain team Content Server workspace, SharePoint site, Microsoft Teams channel, postings, access management, maintain documentation library
- Create and maintain a project team calendar of planned events
- Manage team members’ vacation schedules, setting up reminders and notifications
- Collect project status, top risks and issues, and roll up to higher level status reporting
- Submit AFE/WO request form
- Assist in maintaining the project RAID log (Risks, Actions, Issues and Decisions)
- Ensure standards and requirements are met by adhering to templates and processes set by the CPMO governance team
- Draft and QA project documentation and perform quality checks on them
- Assist in project budget build (if required), using a bottom-up or top-down approach depending on scenarios and/or the requirements
- Create and maintain Project Forecast Template
- Provide additional onboarding training sessions to new resources including building the training deck
- Perform monthly actuals reconciliation and update future months’ forecast
- Create and maintain various project trackers
- Assist in managing resource utilization on the project, including forecasting, resource leveraging etc
- Assist in the execution of the project change management process including creating CR, gathering information from the working team, performing impact analysis on schedule, scope, and budget etc.
- Assist in maintaining and monitoring Project plans/schedules
- Create and maintain resource plans and cost plans
- Assist in the document approval process including managing artifacts
- Maintain, and update the ServiceNow PPM tool
- Manage in-team communications including information posting, deadline reminders etc.
- Organize, attend, and participate in various Project meetings as required, and take follow up on the meeting outcome
- Assist in vendor management including vendor engagement meeting setup, follow up on Project Statement of Work (PSOW) status, follow up on signatures, file signed documents, submit Approval for Position (AFP) requests etc.
Requirements and Qualifications:
- Should have experience coordinating a diverse team of business and contractors through the project delivery lifecycle
- Must be legally eligible to work and reside in Canada
- Must have experience and strength in managing complex business scenarios and dynamic stakeholder groups
- Should have previous experience creating, monitoring and project-tracking databases and spreadsheets
- Strong organization skills, critical thinking, and outstanding communication skills are all crucial to succeed in this role
- Experience using SharePoint or other document repository systems is required
- A Bachelor’s degree in a related field is required
- Planning and scheduling work experience is a must
- 3-5 years of experience of relevant experience.
