Role Overview

We’re seeking an Operations Support Specialist to join our team. This hybrid role is a blend of office administration, operations and finance support. The candidate will play a critical role in the following day-to-day functions: (1) financial operations of the company responsible for account payable tasks, accounts receivable, cash application and financial reconciliation, (2) providing general operations and administrative support, including supporting human resources activities, as needed. The successful candidate will bring a resourceful and team player mindset each and every day.


Responsibilities include but are not limited to:

Finance:

  • Prepare and process all payments to vendors and employees
  • Generate reports as required
  • Maintain accounts receivables and perform payment reconciliations
  • Manage vendor accounts including set up and vendor statement reconciliations
  • Reviewing and coding monthly invoices
  • Support month end closing and reporting
  • Process invoices with accurate allocations, appropriate purchase order application and approvals workflows
  • Manage vendor and employee inquiries related to invoices and payments

Operations:

  • Liaising with campus facilities and IT teams
  • Support intranet, website and job postings
  • Provide general office support such as meeting coordination, ordering office supplies, scheduling couriers, etc.
  • Maintaining subscriptions and logins
  • Support document preparation such as formatting and proofreading
  • Support account teams with client deliverables such as research, assembling packages, coordinating shipping, processing invoices, event support
  • Administration
  • Preparing draft documents such as service agreements
  • Maintain employee databases including vacation tracker and contacts
  • Support employee and client appreciation activities
  • And more!
  • Support HR function during onboarding and offboarding of employees, including account activations and deactivations, equipment delivery and onboarding processes and meetings;


Required Experience, Skills and Abilities

  • Exceptional attention to detail with an emphasis on accuracy and quality
  • Strong Microsoft Office Suite skills (e.g. Excel, Word, Teams, PowerPoint, etc.)
  • Demonstrated critical thinking skills
  • A flexible attitude, adaptable and responsive when quick turnarounds are required
  • Self-motivated with the ability to take ownership for deliverables
  • An enthusiastic attitude and a willingness to learn
  • Ability to maintain discretion and confidentiality with all matters, as well as credibility and trust
  • A team player with strong interpersonal skills
  • 2 – 4 years office experience, finance experience an asset
  • Exceptional time management skills with an ability to prioritize tasks while managing competing deadlines
  • Post secondary education in business administration, finance or equivalent experience
