Job Summary


CSA Group has an opportunity for a Location Services Assistant located in Edmonton. This role supports the operation by ensuring clients receive prompt service, the administrative duties are completed and by coordinating the information flow for the group. This role reports into the Senior Operations Manager.


Responsibilities


  • Promotes awareness of staff and team members relating to issues such as CSA policies and procedures, occupational health, safety, and environmental issues, crisis management, problem-solving, and project management.
  • Supports operation project delivery teams and office/lab location with tasks related to expense accounts, venders, purchasing, travel, and guest support, including hotel, lunch and dinner reservations for internal/external guests, security, reception telephone coverage, shipping & receiving, HSE site rep or support, expense entry/submission, meeting minutes capture, visitor experience management, MetTeam data input and other duties as assigned by Operations management.
  • Obtains quotes and gathers information regarding the purchase, calibrations, and maintenance of Laboratory equipment.
  • Documents, reviews, and updates GMA working processes and procedures so that all users of the information can provide consistent, cost-effective, and timely services.
  • Assists in the maintenance and compilation of accreditation-relevant documentation and database systems with high level of attention to detail.
  • Planning, and coordination of qualification trainings within the team; may include assisting colleagues in making hotel and travel reservations for internal and external visitors. Arranging lunches and making dinner reservations, etc.
  • Participates and engages in the HSE program in a positive and proactive manner, including workplace inspections and internal/external audits.
  • Coordinates and performs regular administrative work for the operation project delivery teams and office/lab location including issuing form letters, acknowledging letters, filing, scanning and importing documents into Documentum, photocopying, distributing standards, bulletins and memos, scheduling meetings, booking meeting rooms, maintaining supplies and preparing meeting minutes.
  • Liaises with calls from local authorities, audits & investigations in tracking requested labels.
  • Manages and oversees purchasing procedures with full documentation as required, including budget tracking and reporting.
  • Maintenance of ESA/CSA label tracking, reports, correspondence, and label inventory within the Special Inspection Generator Programme.
  • Arranges for subject matter experts to assist with technical training and/or conduct training sessions as required.
  • Reads and follows all applicable job safety analysis documents (JSA), work procedures, and safety rules.
  • Plans, organizes, and conducts training sessions with customers, internal staff, and International Partners/Agencies to ensure consistency of process and maintenance of technical competence.
  • Coordinates with accounting credit analysts on a daily basis to ensure all Field Evaluation accounts are up to date, advises project owners of overdue accounts, coordinates with clients, and provides invoice and backup reports to collect outstanding amounts per accounting agreements.


Education And Experience


  • Full Secondary School Diploma
  • 2 years of clerical training in Microsoft Office and various application and software


Skills


  • Must be capable of managing variable workflow and completing multiple tasks on a routine basis
  • Must possess computer skills, including the Microsoft Suite and software applications used to conduct business, ideally Salesforce.com
  • Excellent written and verbal communication skills
  • Demonstrated high attention to detail
  • Demonstrated interpersonal skills; must be service-oriented both within the immediate work environment as well as external to the organization
  • Proven ability to plan, organize and perform assigned duties with minimum supervision
  • Bilingual English and French may be required in some regions
