Job: Office administrator/Receptionist- The Compassion Centre: Wellness, Physio & Rehab


We are a new clinic in Sullivan, Surrey BC and we strive to create and foster a compassionate and caring environment for our staff and patients and embrace a supportive and welcoming work culture. Please connect with us and become part of our work family!

We have a modern clinic space with private treatment rooms, gym space, and up-to-date equipments to provide treatment for excellent outcomes. We have a varied caseload including Private, ICBC, MSP, and WSBC funded patients. We provide direct billing to third-party insurers. Our mission is to provide the best customer service to our clientele by truly making a difference in their lives with the treatment approaches we choose.

Exceptional service by our administration staff is an important factor in the success of our company so we are looking for the perfect candidate to join our team.

We are looking for a dependable, organized individual who has exceptional customer service and leadership skills. Front desk or reception experience is preferred. Experience with Jane app is preferred but not mandatory.

Responsibilities and duties include but are not limited to:

  • Track coverage for all funding streams to ensure approval
  • Provide administrative support to the Clinic Director
  • Coordinate a detailed and accurate intake of information on the patient's first visit to the clinic and throughout their treatment plan
  • Complete data entry and billing
  • Creating and maintaining files and records.
  • Coordinate scheduling of patient appointments and maintain the patient’s medical record
  • Submitting payments through third-party providers
  • Greeting patients with a friendly and positive attitude
  • Coordinate Referrals for Worksafe, LTD and ICBC clients
  • Collecting payments from patients/billing insurance benefits
  • Answer telephone calls, greet patients and visitors upon arrival, and provide excellent customer service for all questions or concerns
  • Assist patients with completing paperwork at the clinic to avoid errors and inaccurate information
  • Scheduling appointments for patients in person or on the phone
  • Maintaining clinic standards of cleanliness and organization
  • Communication with ICBC and WCB regarding patient claims
  • Coordinate courier packages (in or outgoing) and process incoming and outgoing email, mail and faxes

Qualifications & Core Competencies

  • Flexible and adaptable to change
  • Experience in a Physiotherapy clinic an asset
  • Excellent customer service skills and telephone etiquette
  • Excellent communication (verbal/written) and interpersonal skills
  • Independent transportation is essential for this role
  • High degree of organizational skills and ability to prioritize and multi-task
  • High School Diploma, G.E.D. or equivalent
  • Ability to work on a flexible schedule
  • Strong computer and data entry skills

Job Types: Full-time, Part-time

Part-time hours: 20-35 per week
