Job Description


The Admin Office Assistant/Receptionist will spend half of the time at the front desk and half in a cubicle. We are looking for someone who enjoys multi-tasking, helping others, and can handle a fast-paced environment as well as keep busy during any slow times. This position requires a self-starter who enjoys learning and interacting with many different types of people.


Duties shall include, but are not limited to:


  • Operate cash register / Point-of-Sale system
  • Monitor and restock office supplies
  • Helping the rest of the staff with various responsibilities
  • Create and send invoices and communications to customers and vendors via email
  • Coordinate and organize appointments
  • Ensure office equipment is properly maintained and serviced
  • Fax, scan, and copy documents
  • Maintain office filing and storage systems
  • Enter and maintain Hauling/DOT records
  • Receive, sort, and distribute incoming mail
  • Greet visitors and direct them to the correct staff member
  • Request, receive, and handle COI's and W-9's from subcontractors
  • Contact customers to remind them of upcoming appointments
  • Enter bills and credit card charges into accounting system
  • Keep office area clean and tidy, including monitoring beverage station
  • Answer phones and transfer calls to the appropriate staff member


Work Hours:


  • Typical work hours are Monday – Friday from 7:45AM – 5:00PM
  • Hours may vary before, during, or after winter weather events


Qualifications:


  • Proficient in Microsoft Word and Excel
  • At least 2 years of college studies, related work experience, or equivalent combination
  • Preference to experience within the snow & ice management or commercial trucking industries
  • Point-of-sale system and/or accounting system experience is preferred
  • Must be detail oriented with time management and organizational skills
