Job Summary: The Office Administrator at SupplyNow plays a critical role in ensuring the smooth functioning of all aspects of the business. This position requires a highly organized and detail-oriented individual who can effectively handle administrative tasks, minor bookkeeping, payment reconciliation, data entry, website management, and reporting. The Office Administrator will be responsible for supporting various departments within the organization, maintaining records, coordinating office activities, and assisting with day-to-day operations.
Responsibilities:
Administrative Support:
- Perform general administrative tasks, including managing correspondence, filing, answering phone calls, and organizing office supplies.
- Schedule and coordinate meetings, conferences, and appointments, ensuring efficient use of time and resources.
- Assist with travel arrangements, itineraries, and accommodations for staff when required.
Minor Bookkeeping and Payment Reconciliation:
- Assist with basic bookkeeping tasks such as recording payments, preparing invoices, and reconciling financial statements.
- Maintain accurate records of financial transactions, including invoices, receipts, and expenses.
- Collaborate with the finance team to ensure timely and accurate payment reconciliation.
Data Entry and Reporting:
- Enter data into appropriate databases and maintain accurate records.
- Prepare and distribute internal reports, memos, and documents as required.
- Generate reports and assist with data analysis as requested.
Website Management:
- Collaborate with the marketing team to publish news, articles, and announcements on the website.
- Update and maintain the company's website content, ensuring information is accurate and up to date.
- Monitor website performance and report any issues or improvements to the relevant stakeholders.
Office Operations:
- Maintain a clean and organized office environment, ensuring supplies are stocked and readily available.
- Coordinate and oversee office activities, including maintenance, repairs, and vendor relationships.
- Assist in the onboarding process of new employees, including setting up workstations, providing necessary equipment, and completing required documentation.
Requirements:
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Experience in website management and content updates is desirable.
- Ability to work independently, take initiative, and problem-solve.
- Discretion and confidentiality in handling sensitive information.
- Proven experience as an Office Administrator, Administrative Assistant, or similar role.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Familiarity with basic bookkeeping principles and payment reconciliation.
- Proficiency in office software, including word processing, spreadsheet management, and database systems.
- Strong written and verbal communication skills.
