Job Description

The ideal candidate will be responsible of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.

Responsibilities:


Office Administrative:

  • Manage phone calls and correspondence
  • Support budgeting and bookkeeping procedures
  • Clerical support for controller as needed.
  • Create and update records and databases with personnel, financial and other data
  • Back-up for controller for weekly financial reports.
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Supervise administrative staff and dividing responsibilities to ensure performance
  • Keep stock of office supplies and place orders when necessary
  • Maintaining purchase orders for production consumables


Accounts Payable and Accounts Receivable:

  • Enter vendor invoices and match with appropriate back-up.
  • Process all vendor credits and customers receipts
  • Scan in all vendors packing slips and signed bills of lading
  • Prepare cheque remittances and mail cheques
  • Follow-up on vendor invoice submitted for approval
  • Enter memo customer invoices
  • A/P reconciliation and vendor correspondence.


Qualifications:

  • High school diploma, GED, or equivalent
  • Two to three years of office administrative experience in an office setting
  • Specific industry experience preferred
  • Proficient with Microsoft Office software and phone systems
  • At least 1 year of Account payable and Account Receivable
