Job Description

We have an immediate opening for an ambitious Office Administrator to assist in the operations of our manufacturing facility. Reporting to the Plant Manager this is an extremely important role as you are the first person to greet our guests. You will be a right hand to the Plant Manager in supporting the smooth and efficient operations of the day-to day administrative functions of the facility.


KEY RESPONSIBILITIES:

  • Manages locker assignment and uniform management for all employees
  • Prepare for international guests and meetings (ordering and preparing food, sending invitations, room set up and clean up)
  • Greeting guests, answering calls and directing visitors
  • Maintains communication systems and office equipment
  • Assists with printing, photocopying, faxing, collating, distributing and retrieving documents and files, coordinate daily mail, couriers, vendor visits and site logs
  • Oversees all day-to-day office function including ordering office supplies, refreshment/ coffee stations, coordinating maintenance services, and ensuring a clean and professional work environment
  • Act as a liaison between departments, clients, and partners. Handle inquiries, requests, and correspondence in a timely and professional manner
  • Plan and coordinate travel support for our International guests (car, hotels, reservations)
  • Review, delegate and approve corporate invoices using SAP, including some expense reports
  • Coordinates, prepares, and processes purchases for production as required including sourcing quotes, product inquires and stock check/pricing with suppliers
  • Assists with coordinating employee engagement items on an ad-hoc basis such as contests, draws and slideshows
  • Laise with security to support and manage the secured points of entry including swipe cards and gate management


QUALIFICATIONS:

  • Excellent interpersonal skills and the ability to work well with diverse team
  • Exceptional organizational and time-management abilities
  • Professional, self-motivated with a proactive and positive attitude
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint,) Google Suite and other relevant software applications
  • Certification in Office Administration, high school diploma or equivalent
  • Ability to prioritize tasks and work under pressure to meet deadlines
  • Strong written and verbal communication skills, with excellent attention to detail
  • Strong problem-solving skills and ability to anticipate needs
  • Demonstrated ability to handle sensitive information with confidentiality
  • 2+ years office administration in a similar role
