Job Description

CMS Group is currently looking to hire a Junior Administrator for our growing Mechanical Service division. Reporting to the Manager, Service Project Coordination you will work within a team of 4 and be responsible for the following duties inclusive but not limited to:


• Organize, scan, and copy the appropriate documents for both the billing and coordination department.

• Track line material savings by logging all supplier quotes; ensure split orders are filed separately.

• Match and code all line material invoices; this includes tracking partial orders. Receive confirmation from the technicians regarding direct orders. Contact site teams and/or suppliers when there are discrepancies.

• File all line material purchase orders, change orders, and coordination purchase orders.

• Assist with project coordination purchase order matching and invoice entry.

• Assist with plumbing fixtures reconciliations and returns.

• Enter change orders into the change order log as well as the project coordination spreadsheet. Verify accuracy of coordination change orders entered in the project management spreadsheet.

• Assist in retrieving invoice copies from accounting for reconciliations.

• Assist Service Coordination Manager with other data entry and customer inquiries

• Update spreadsheets, checklists and other progress reports as needed.


In order to be considered for the role, candidates must possess the following skill set:

• Exceptional communication skills and ability to work well in teams

• Organization skills, time management, team player attitude and ability to work well within a group setting

• Strong Microsoft office skills (Excel, Outlook, Word)

• Educational or work experience in a related field considered an asset (engineering, mechanical, contracting etc. )
