Job Description

  • No real estate experience required - But it is a bonus

Key Responsibilities and Duties

  • Update the status of listings in Paragon as requested by Agent.
  • Monitor Agent emails as needed, deleting junk mail and archiving transaction emails.
  • Manage all systems for sellers, buyers, client database management, lead generation tracking, lead follow-up.
  • Update listings and their marketing materials with any changes (ex: price reductions).
  • Perform general administrative duties such as answering phones, filing, copying, scanning, scheduling meetings, ordering supplies, and other tasks as needed.
  • Assist Agents with special event planning (client parties, community events, etc). Take the lead with ideas to implement and coordinate events.
  • Respond to customer needs with urgency and attentiveness.
  • Programs to be utilized: Monday.com, Canva, MailChimp, WordPress, Evite, Microsoft Word/Excel/Publisher, Skyslope/DigiSign, Paragon, CRS Data, Instanet/AuthentiSign, DocuSign, Gmail, Google Drive, Facebook/Instagram
  • Oversee all aspects of the administration of the agent's business
  • Send documents for electronic signature when requested (via AuthentiSign, or DigiSign).
  • Update Agent's CRM software (Buffini ReferralMaker)
  • Be a self-starter with strong organizational skills, an acute attention to detail, and the ability to efficiently manage the completion of several tasks and projects with high-level direction while maintaining confidentiality with sensitive materials.
  • Notify transaction participants when a deadline is approaching
  • Assist agents with preparation of new listings, including drafting of paperwork, collecting pertinent property information, scheduling photographers as needed, organizing listing documents and reviewing them for quality, accuracy, and completeness.
  • Design marketing materials in Canva (agent newsletters, pop-by tags, client party postcards, greeting cards, etc).
  • Market new listings using a variety of print and digital resources, including, but not limited to: property flyers, postcards, social media advertising.
  • Compliance review on all contracts (listings and buyers).
  • Schedule showings for Agents as requested.
